We are hiring a full-time Executive Assistant to support the Founder & CEO of a multi-entity
organization operating across leadership, AI strategy, academia, and global speaking.
This is not a traditional administrative role. We are looking for a structured, execution-focused
operator who can bring discipline and follow-through in a fast-moving environment.
Primary Priority: Revenue & Pipeline Discipline
The most critical responsibility is CRM and sales follow-up management.
The candidate must:
- Have hands-on HubSpot experience
- Maintain 100% follow-up compliance
- Track deal velocity and stalled opportunities
- Prepare pre-call briefs
- Draft post-call summaries with clear next steps
- Maintain a clean, visible revenue dashboard
Revenue protection and pipeline hygiene are non-negotiable.
Calendar & Inbox Management
- Manage complex calendar across multiple verticals
- Prioritize meetings aligned to revenue and strategic goals
- Protect deep work blocks
- Maintain inbox discipline (near-zero backlog standard)
- Coordinate travel and speaking logistics
The calendar must reflect strategic priorities, not just availability.
Execution & Accountability
- Translate strategy into structured task lists
- Maintain a weekly priority dashboard
- Document key decisions and ensure follow-through
- Proactively surface risks and delays
- Operate independently without constant direction
This role requires maturity and strong internal drive.
Required Qualifications
- 3–5+ years supporting senior executives or founders
- Direct HubSpot experience (required)
- Strong written English
- Experience in startup or growth-stage environments
- Comfortable working with CRM systems and project management tools
- EST working hours overlap required
