The Administrative / Accounts Assistant provides essential financial and administrative support to ensure the smooth and efficient operation of the business. This role requires a highly organised, detail-oriented individual who can manage financial documentation, supplier accounts, and administrative processes with accuracy and professionalism.The successful candidate will be deadline-driven, confident in handling financial data, and capable of maintaining strong communication with suppliers and internal stakeholders.Key ResponsibilitiesAccounts & Financial Administration
- Process supplier invoices accurately and timeously
- Capture financial data into accounting systems and maintain up-to-date records
- Reconcile supplier accounts and investigate discrepancies
- Prepare and distribute account statements
- Follow up on outstanding payments via email and telephone
- Assist with accounts payable and accounts receivable processes
- Maintain accurate financial records in accordance with company procedures
- Support month-end administrative processes where required
Administrative Support
- Maintain organised filing systems (digital and physical)
- Prepare reports, spreadsheets, and correspondence as required
- Assist with document management and record-keeping
- Respond to internal and external queries professionally
- Support management with general office administration tasks
- Perform ad hoc administrative duties as requested
Communication & Coordination
- Communicate professionally with suppliers, service providers, and internal teams
- Escalate unresolved financial issues to management where necessary
- Ensure all correspondence reflects professionalism and company standards
Minimum Requirements
- Previous experience in an administrative or accounts-related role (advantageous)
- Proficiency in Microsoft Excel, Microsoft Word and SageOne
- Strong numerical accuracy and attention to detail
- Ability to work independently and meet strict deadlines
- Good organisational and time-management skills
- Professional written and verbal communication skills
- Ability to manage multiple tasks simultaneously

Reporting StructureThis position reports directly to Management / Finance Manager / Operations Manager, depending on company structure.RemunerationRemuneration will be market-related and dependent on experience, qualifications, and company structure.Typical salary levels vary by region:
- Entry-Level / Junior: Entry to lower-mid administrative salary range
- 2–5 Years’ Experience: Mid-level administrative/accounts range
- Senior / Strong Accounts Focus: Upper administrative range, potentially aligning with junior accounting compensation
