The Service Advisor acts as the key link between customers and the workshop, ensuring that all vehicle service and repair processes run efficiently. The role focuses on delivering excellent customer service, accurate job costing, and effective communication between customers, technicians, and suppliers.
Key Responsibilities
Customer Service
- Greet customers professionally and book vehicles in for repairs and servicing.
- Listen carefully to customer concerns and accurately record faults or service requirements.
- Provide clear explanations of recommended repairs and maintenance.
- Maintain strong relationships with customers to ensure repeat business and customer satisfaction.
Workshop Coordination
- Open and manage job cards with accurate service details.
- Liaise with mechanics/technicians regarding diagnostics and repair progress.
- Provide customers with regular updates on repair status and completion timelines.
- Ensure customer approval is obtained before any additional work is carried out.
Quotations and Costing
- Prepare detailed repair quotations including parts and labour.
- Explain costs clearly to customers.
- Obtain approval for additional repairs when required.
- Ensure accurate costing and invoicing of all completed work.
Administrative Duties
- Maintain accurate job card documentation and service records.
- Process invoices and ensure correct billing procedures.
- Capture customer and vehicle information accurately on the system.
- Ensure compliance with company policies and workshop procedures.
Parts Coordination
- Liaise with parts suppliers regarding pricing and availability.
- Ensure correct parts are ordered and delivered on time for scheduled repairs.
Minimum Requirements
- Grade 12 / Matric.
- Minimum 5 years’ experience as a Service Advisor in a mechanical or automotive workshop environment.
- Strong knowledge of vehicle servicing and repair processes.
- Computer literacy (MS Office and workshop/job card systems).
- Valid driver’s licence (advantageous).
