We are seeking an organized, detail-oriented, and proactive Tender Administrator to manage and oversee the end-to-end tender process across multiple group companies. In this role, you will be the central point of contact for identifying, preparing, and submitting high-quality tender applications, RFPs (Request for Proposals), and RFQs (Request for Quotations).
General administrative tasks and call handling will also be part of the scope of this role.
- Tender Tracking: Monitor procurement portals daily to identify relevant business opportunities for each company.
- Document Management: Collate, organise, and prepare all required compliance documentation (e.g., tax clearance certificates, company registration, BEE/compliance certificates, financial statements, and ISO accreditations).
- Submission Preparation: Read and interpret tender requirements thoroughly to assemble complete, professional, and fully compliant tender packs (both physical and electronic).
- Cross-Company Coordination: Liaise with internal stakeholders across multiple entities to gather pricing, technical specifications, and supporting materials.
- Data Maintenance: Maintain an updated repository of company profiles, CVs, case studies, certificates, and past tender submissions for quick reference.
- Compliance & Quality Assurance: Review final submissions to ensure strict adherence to client formatting, guidelines, and submission deadlines.
- Post-Submission Tracking: Track the status of submitted tenders, record outcomes, and request feedback on unsuccessful bids to drive continuous improvement.
Requirements & Qualifications
- Experience: proven experience as a Tender Administrator, or similar administrative role
- Skills:
- Exceptional attention to detail and strong organisational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, PDF editing tools).
- Strong written and verbal communication skills.
- Ability to manage competing priorities and strict, non-negotiable deadlines.
- Attributes: High level of discretion, proactive problem-solver, and comfortable working independently across different business units.
