Junior Administrator / Receptionist
About the Role
Liquid Concepts is looking for a professional, organized, and customer-focused Junior Administrator / Receptionist to join our team! This role plays an important part in ensuring the smooth day-to-day operation of the branch by providing administrative support, front-desk reception services, customer assistance, and operational support. The successful candidate will act as the first point of contact for customers, visitors, and staff, while assisting with a variety of administrative and operational tasks to maintain efficiency within the depot.
The ideal candidate will have strong communication skills, excellent attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Key Responsibilities
Reception and Customer Service
- Serve as the first point of contact for visitors, customers, suppliers, and staff.
- Answer and direct incoming telephone calls professionally and efficiently.
- Welcome and assist walk-in customers and attend to various order lines.
- Handle customer queries and resolve basic issues or escalate where necessary.
- Maintain a professional and friendly reception area at all times.
Administrative Support
- Perform general administrative duties including filing and document management.
- Capture and maintain accurate records on company systems.
- Assist with data entry and ensure information is captured accurately and timeously.
- Support management and other departments with ad hoc administrative tasks as required.
Sales Administration Support
- Provide administrative support to Sales Representatives and the sales team.
Operational and Warehouse Support
- Assist with operational documentation including delivery notes, invoices, proof of deliveries, stock transfer documents, and other depot-related paperwork.
- Support daily warehouse and depot operations when required.
- Assist with coordinating customer collections and ensuring relevant documentation is completed correctly.
- Work closely with warehouse and operations staff to ensure smooth order processing and dispatch.
- Help maintain accurate filing and record-keeping of operational documents.
General Duties
- Maintain confidentiality of company and customer information.
- Ensure adherence to company policies, procedures, and administrative standards.
Minimum Requirements
- Computer literate with proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Good organizational and time management abilities.
- Excellent attention to detail and accuracy.
- Ability to work independently as well as part of a team.
- Professional telephone etiquette and customer service skills.
- Ability to work in a fast-paced operational environment.
