Advanta Autism supports children and families through autism services, and we run a busy, caring practice. We are hiring a fully remote Administrative Assistant who keeps everything organized AND uses AI tools to work faster and smarter. This is a remote role open to candidates based in South Africa.
If you already lean on tools like ChatGPT or Claude to draft, summarize, and stay on top of details, you will fit right in. You will be a key point of contact for families and a backbone of our daily operations.
What you will do:
- Manage scheduling and calendars for clients and clinicians, including reminders, cancellations, and the waitlist.
- Own a shared inbox: triage, draft, and send clear, friendly replies and follow-ups.
- Keep client records, spreadsheets, and files accurate and well-organized.
- Handle intake, family onboarding, insurance paperwork, and invoicing.
- Use AI tools to draft communication, summarize information, and streamline repetitive tasks, always double-checking accuracy.
What we are looking for:
- 2+ years of administrative, front-desk, or virtual-assistant experience (healthcare or clinic setting a plus).
- Genuine, hands-on fluency with an AI assistant such as ChatGPT, Claude, Copilot, or Gemini.
- Outstanding written English and a warm, professional manner with families.
- Exceptional organization and attention to detail.
- Discretion and care with sensitive information.
- Comfort with Google Workspace or Microsoft 365 and spreadsheets.
- Reliable high-speed internet and a quiet home work setup.
Nice to have:
- Experience with autism services or ABA, EHR or practice-management software, or insurance billing.
- Experience building simple automations (e.g., Zapier or Make).
