A recently renovated 4* Hotel in the Stellenbosch area is searching for a well-spoken, reliable, professionally presented and experienced Receptionist to join their Front Office Team.
Applicants MUST have at least 5 years' Hotel reception experience and be completely familiar with front office operations, APEX PMS (or alike), live in the Stellenbosch area AND have a driver's license and their own reliable vehicle.
Duties will include, but not limited to:
1.Welcome all guests in a friendly & polite manner as well as observe and attend to all guests without delay.
2.Identify guest upon check-in/check-out and follow correct check-in/check-out procedures required.
3.Ongoing check-in and registration on arrivals, ensuring registration card has been completed correctly, i.e. signature, physical address, e-mail address, passport details and obtaining credit card details.
4.Obtaining prior authorization before processing credits onto guest bills and / or collecting correct deposit from cash paying guest.
5.To allocate rooms according to daily arrivals list, taking into account all requests as well as ensuring that the rate and room specifications are correct and adhered to.
6.Monitoring of reception hand-over diary on a regular basis, noting follow ups and actions to be taken.
7.Processing departures – payments, credit card payments, foreign exchange payments.
8.Processing of direct bills, noting correspondence / method of payment instructions.
9.Ongoing liaison with housekeeping department on room status as well as informing housekeeping of daily show rooms.
10.Ensuring room moves are coordinated with housekeeping, following front office guidelines.
11.Ongoing liaison with maintenance regarding requests.
12.Co-ordinate Lodge transport.
13.Daily balancing of Protel employee audit report / banking.
14.Action daily check list accordingly and sign off.
15.Handling of guest complaints, should it not be resolved, escalate complaint to GM / FM / RM.
16.Ensure an in depth hand over to next shift.
17.Ensuring change levels are of sufficient quantity to assist guest requests.
18.Ensuring correct usage of all front desk equipment, and reporting any faults to management.
19.Being adequately versed in Lodge facilities, offering, packages / specials.
20.Ensure that all interactions with guests is conducted in a friendly, efficient and helpful manner.
21.Being knowledgeable of local restaurants and tourist destinations – refer to information file.Ensuring all correspondence to guests is appropriate with the image of the Lodge.
23.Posting of dockets to guests’ accounts, filing dockets in the correct pit.
24.Ensure you are updated with all new procedures put in place as well as ongoing memo’s sent out.
25.Conducting oneself in a professional manner at all times
26.When weekly morning meetings take place, please take notes / minutes and email to all relevant HOD’s.
27.Familiarize yourself with all SOP’s and adhere to these.

** Candidates already living in the Helderberg & Stellenbosch areas will be preferred
** Tertiary hospitality qualification preferable
