We are seeking an experienced Admin/Vehicle Invoicing Clerk to join the dynamic team of a highly successful motor dealership. The ideal candidate will be a team player with an affable yet firm personality, strong organizational skills, and an eye for detail. You must be able to multi-task effectively, be well-presented, and have an excellent command of English with at least an understanding of Afrikaans. The ability to thrive in a multi-franchised, multi-branched dealership environment and adhere to deadlines is essential.
Vehicle Invoicing:
Oversee all vehicle invoicing, with primary responsibility for new vehicle invoicing and assisting with used vehicle invoicing when necessary
Create and process purchase orders, including orders for PDI’s
Stock vehicles by retrieving invoices from various floorplan systems and creating standard costs
Manage trade-ins by bringing them into stock and handling settlements where applicable
Process rebates and fleet claims to vehicles, invoicing the rebate/claim to the factory
Ensure all orders are cleared at month-end and all costs are processed
Accounts:
Daily receipting from bank statements
Process direct debits and charges from bank statements
Prepare and process weekly COD payments
Conduct weekly recon of service cash outstanding
Manage Licensing Card Control with monthly recon
Perform loan account recon
Receipt and reconcile manufacturer payments, including:
Vehicle rebates: receipt, allocate, and update Sales Managers/DP
Warranty claims payments: receipt, allocate, and update Warranty and Service Manager
Perform relief switchboard duties as per the lunchtime roster
Job Requirements
Matric Certificate
A valid Drivers License
An Accounts related Diploma would be beneficial - not essential
A minimum of 3 years of proven experience in an administrative role within a franchised motor dealership
Proficiency in Pinnacle (particularly Vehicle Ledger & Accounts)
Experience with WFS and Fast Dealer
Strong Excel skills
Competency with online banking
Mastery of all aspects related to vehicle invoicing
Strong organizational and multi-tasking abilities
Excellent communication skills in English, with a basic understanding of Afrikaans
