Purpose of the Job
The POD Debriefer is responsible for accurately capturing, verifying, and recording delivery and return information in line with standard operating procedures. This role ensures that all Proof of Delivery (POD) documentation, returns, refusals, and claims are processed correctly, supporting operational efficiency and compliance across the logistics workflow.
Key Responsibilities
POD Handling
- Carry out POD debriefing in line with SOPs.
- Capture delivery details accurately on the Access system.
- Record driver delivery manifests on the debriefing report and distribute to relevant parties.
- Address problem PODs by recording them in both the debriefing report and the POD rectification book.
Returns Processing
- Debrief full and partial returns according to SOPs.
- Complete debriefing reports accurately and ensure failed delivery invoices are endorsed by customers.
- Scan and code parcels correctly on Freightware and update the debriefing report.
- Sort failed deliveries (customer and value) for handover to the Hub, Bookings department, or Query cage.
- Identify box damages on returns and compile hub reports with driver input.
Content Refusals
- Debrief content refusals in line with SOPs.
- Record driver delivery manifests on the debriefing report.
- Ensure content returns are endorsed by customers on PODs or refusal notes.
- Include call centre contact details in refusal documentation.
- Complete Value Waybills for content returns and cross-reference with original delivery notes/PODs.
Claims and issues
- Report all claims and potential claims as per debriefing reports.
- Notify relevant parties of drivers involved in claims or potential claims.
- Ensure drivers are held back the following morning for resolution between agency and transport department.
Reporting and Feedback
- Monitor and provide feedback on applicable status reports (codes 10, 15, 32, 38, 40, 50, 51, 80, 81, 41, 58).
- Compile hub reports for damaged packaging with supporting driver statements.
- Provide updates and feedback during Operations Meetings.
Minimum Requirements
- Grade 12
- 2+ years’ experience in Logistics, Distribution, POD handling
Skills Requirements
- Strong communication skills to liaise effectively with drivers, hubs, and internal teams.
- Proven troubleshooting skills to resolve discrepancies in PODs, returns, and claims.
- Solid data administration skills to ensure accurate recording on Access and Freightware systems.
- Attention to detail to identify errors, damages, and incomplete documentation.
- Problem-solving skills to handle POD rectifications and customer endorsements.
- Beginner proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Proficiency in Access system for POD capturing
- Proficiency in Freightware for parcel scanning and coding
