Purpose of the Position
The Financial Officer is responsible for supporting the financial operations of the organisation through accurate processing of financial transactions, maintaining financial records, assisting with reporting, and ensuring compliance with internal controls and statutory requirements. The role contributes to the overall efficiency, accuracy, and integrity of the finance function.
Key Responsibilities
Financial Processing and Recordkeeping
- Capture and process financial transactions accurately in the accounting system.
- Maintain up-to-date financial records and supporting documentation.
- Process journals, invoices, receipts, and payment entries as required.
- Ensure proper filing and storage of financial documents.
Accounts Support (Debtors & Creditors)
- Assist with debtor and creditor processing functions.
- Support invoicing, payment allocations, and reconciliations.
- Follow up on outstanding documentation or queries from suppliers and clients.
- Assist in maintaining accurate customer and supplier account records.
Reconciliations and Reporting Support
- Perform basic reconciliations of bank accounts and ledger accounts.
- Assist in preparing monthly financial reports and schedules.
- Support month-end and year-end closing processes.
- Identify and report discrepancies for resolution.
Budget and Expense Support
- Assist in tracking departmental expenditure against budgets.
- Support the preparation of budget reports and variance analysis.
- Capture and monitor expense claims and reimbursements.
Compliance and Internal Controls
- Ensure compliance with organisational financial policies and procedures.
- Support audit processes by providing required documentation.
- Maintain confidentiality and security of financial information.
- Assist in identifying and reporting financial irregularities.
Administrative Support
- Maintain financial filing systems and databases.
- Assist with procurement and purchase order processing where required.
- Provide general administrative support to the finance department.
- Respond to basic financial queries from internal stakeholders.
Minimum Requirements
Qualifications
- Grade 12 (Matric).
- Certificate or Diploma in Accounting, Finance, Bookkeeping, or related field.
Experience
- 1–3 years’ experience in a finance or accounting support role.
- Experience with accounting systems and basic financial processing.
- Exposure to reconciliations and financial administration.
Knowledge
- Basic accounting principles and financial processes.
- Understanding of debtors, creditors, and general ledger functions.
- Proficiency in Microsoft Excel and basic accounting software.
