We are seeking a highly organized and detail-oriented HR Controller to join our team. The HR Controller will play a crucial role in supporting the HR department and ensuring the smooth operation of various HR functions.
The ideal candidate should be an efficient multitasker, have excellent communication skills, and demonstrate a strong commitment to maintaining confidentiality and accuracy in HR processes
DUTIES & RESPONSIBILITIES:
Staff Timekeeping
1. Manage and be acquainted with the time and attendance system (Currently, Jarrison Time). This includes having a proper understanding of:
- creating and changing shifts,
- assigning users to shifts,
- day programs,
- pay programs,
- reports,
- exporting clockings,
- creating and using filters, etc.
2. Ensures all clocking are correct and verified by respective managers.
3. Have an eye out for clocking that might be fraudulent.
4. Following correct procedure (documentation) when rectifying clockings.
5. Set up and be able to work with clocking machines – add, edit, remove users.
6. Provides relevant reports to managers.
Staff Payroll & Processing
1. Process payroll accurately and on time so as to ensure all deadlines are met for all payroll requirements. (Clocking Leave Processing Reporting Signing Payment)
2. Printing and distributing of payslips in a way conducive to confidentiality.
3. Address payroll-related queries from employees, escalating the issue only when necessary.
Employment contracts
1. Ensures all employees have complete contractual documents as well as any necessary auxiliary documentation filed in sound order.
Maintaining of Database(s)
1. Ensure that various databases are accurately maintained to reflect employee movement in the workforce. For example:
- Adding / Removing / Promoting / Demoting from our Payroll Software
- Adding / Removing / Updating from any company database(s)
- Adding / Removing from employee benefit schemes.
- Notifying relevant parties (Union, for example)
Staff Induction and Onboarding
1. Oversee and ensure new appointments are fully and properly inducted, with necessary paperwork being signed and filed in order on a new appointment’s first day.
2. Have new employees loaded onto time-keeping software, any relevant company database(s), etc.
Staff Termination and exiting
1. Oversee and ensure that staff leaving appointment have all necessary documentation issued and filed, according to legislation, and within allotted timeframe.
Employee Benefits
1. Complete documentation required for take on and withdrawal from the existing benefit-structure.
2. Ensure all information on the benefit structure is up to date and complete.
3. Assist employees with benefit queries.
4. Reach out to benefit provider when and if necessary to handle queries, etc.
5. Making sure any deadlines required by the benefit supplier are met.
Staff Training and Certification
1. Liaise with managers and facilitate discussion on the topic of training and certification for their staff members.
2. Ensure training documents and certificates are soundly filed.
3. Identify whether staff need any HR-related training (how to read/interpret their payslip, Momentum-related queries, etc.)
Employee Relations
1. Guide management in terms of ethical procedures and good employee relations.
2. Ensure that an overall consistency is present in the disciplining of staff.
Leave
1. Ensure compliance with the current leave policy.
2. Record and maintain leave records.
3. Provide leave reports as required.
4. Set up and formulate reports that can be sent on a routine basis (monthly or quarterly, etc).
Policy
1. Be knowledgeable about necessary legislation, know how to research this subject matter and how to get legal advice if needed.
2. Ensure that policies be kept up to date.
3. Ensure proper and documented
4. Promulgation and communication of policies to relevant staff.
Performance Reviews
1. Aid management with conducting bi-annual performance reviews
2. Ensure PRs get done on schedule.
3. Ensure that it gets documented.
Recruitment
1. Provide aid in relation to recruitment to hasten the process.
2. Be able to draw up a Job Description together with the appropriate manager, if necessary.
3. Place advertisement in relevant media.
4. Conduct a proper screening of applicants & conduct screening interviews.
5. Formulate and recommend a shortlist.
Employment Equity
1. Be able to drive and take ownership of Employment Equity.
2. Ensure that EE meetings are held timeously so as to meet the Act’s requirements.
3. Ensure required documentation pertaining to this topic is displayed in the factory area.
4. Ensure the EE-file be kept up to date in accordance with EEA.
5. Be knowledgeable about the Act as a whole, know its purpose, goal.
6. Do Barrier assessments
7. Be able to form a proper committee as per the Act.
8. Be able to draft EE Plans and submit EE plans.
Industrial Relations
1. Set up disciplinary enquiries as required.
2. Liaise with IR consultant to confirm dates and times.
3. Ensure correct documentation is in place for enquiries.
4. Ensure correct record keeping of disciplinary processes.
Union
1. Be involved with communicating with the union.
2. Calculate and communicate monthly amount union needs to be paid.
3. Keep track of union membership.
4. Ensure that union deductions are (or are not) taking place on SimplePay.
Food Safety
1. The employee is responsible for their own hygiene and ensures it complies with company standards (detail during Induction).
2. The correct PPE should be worn when moving about inside the Mill and warehouse.
JOB REQUIREMENTS
SKILLS, ABILITIES and COMPETENCIES:
1. Excellent computer literacy. Employee must be able to do the following:
- Work with Gmail,
- Work with GCalendar,
- Work with GDrive,
- Work on Cloud-based solutions (SimplePay),
- Understand computer-driven timekeeping software, etc.
- Convert MS Word to PDF Documents
2. The ability to work with accuracy.
3. Effective communication.
4. Big-picture thinker.
5. Get things done quickly, when necessary, without compromising accuracy.
6. Know how to prioritise tasks and tackle systematically.
7. Adaptive learner
EDUCATION:
- Matric.
- Proof of further education.
- A Human Resources qualification will be a distinct advantage.
WORKING EXPERIENCE
- At least 4 years in an HR role.
- At least 2 years payroll experience.
- EE Experience will be beneficial.
GENERAL
- Possess a valid driver’s license.
