Phoenix Marine Manufacturing is looking for an experienced Procurement Officer to positively contribute to the Procurement Department. As a Procurement Officer you are required to effectively manage and execute the procurement of locally sourced and imported materials, components, and services required for the manufacturing of boats at Phoenix Marine Manufacturing. The Procurement Officer ensures that all goods and services are sourced cost-effectively, delivered on time, and meet the required quality standards to support uninterrupted production operations.
Key Duties and Responsibilities include but are not limited to:
Procurement Planning & Sourcing
- Support the Procurement Planning Manager in executing procurement plans aligned with production schedules and inventory forecasts.
- Identify, evaluate, and qualify local and international suppliers.
- Request, evaluate, and negotiate quotations to achieve best value while ensuring quality and compliance.
- Maintain and update the approved supplier list and monitor supplier performance.
Purchasing & Order Management
- Create and manage purchase requisitions and convert them to purchase orders on the ERP system.
- Ensure compliance with internal approvals, procurement policies, and budgetary controls.
- Track and expedite all orders to ensure timely delivery to the production facility.
- Coordinate all aspects of imported material procurement including shipping, freight forwarding, and customs documentation.
Receiving & GRV Process
- Liaise with the receiving team to ensure accurate and timely processing of Goods Received Vouchers (GRVs).
- Verify all delivery documentation and ensure correct matching of purchase orders, delivery notes, and GRVs.
- Resolve any GRV discrepancies promptly with suppliers and stores.
- Maintain accurate procurement and receiving documentation for audit readiness.
Inventory & Logistics Coordination
- Work closely with stores and production teams to manage stock levels and prevent shortages or overstocking.
- Coordinate delivery schedules in line with vessel build timelines.
- Arrange local logistics and transport where required.
Cost & Compliance Management
- Monitor market pricing and maintain cost records to support cost control and budgeting.
- Ensure adherence to ethical procurement practices and company policies.
- Implement risk mitigation strategies such as dual sourcing or safety stock.
Cross-Departmental Collaboration
- Collaborate with design, engineering, and production teams to understand specifications, lead times, and material requirements.
- Support the finance team by providing accurate documentation for supplier payments.
- Communicate procurement schedules, delays, and updates to relevant stakeholders.
