Title: Executive Assistant to Founder
Location: 100% remote work for the first few months. Beginning in March 2025, mostly remote work. There will be some travel required (about 5-7 hours per week) within Cape Town city center, so you must have your own transportation and live within 15 minutes of Cape Town.
Schedule: Upon hire, 100% remote work with core working hours of 5 PM - 10 PM PM EST. Remaining hours can be completed before or after the core working hours. Beginning in March 2025, these core working hours will be earlier in the day, and remaining hours can be completed before or after the core working hours.
About The Role
We are seeking a mid-level Executive Assistant to provide comprehensive support to our Founder. This role is crucial in maintaining the smooth operation of the founder's office and requires a high level of organization, attention to detail, and the ability to manage multiple priorities simultaneously. The ideal candidate will be a proactive problem-solver with excellent communication skills and a warm personality.
Your Qualifications
- At least 1 year of experience as an Executive Assistant or in a similar role
- Exceptional organizational skills with a keen eye for detail
- Proficiency in Google Suite and productivity tools
- Strong written and verbal communication skills in English
- Ability to work independently and manage time effectively
- Experience with calendar management and travel coordination
- Proven experience developing and following SOP’s
- Comfortable working with sensitive and confidential information
- Knowledge of leveraging artificial intelligence to streamlined administrative tasks

- Experience in managing complex schedules and coordinating meetings
- Proficiency in preparing reports and presentations

Your Primary Responsibilities
- Manage Founder's personal and work calendars, including scheduling meetings and appointments
- Coordinate personal and work travel arrangements and prepare detailed itineraries
- Handle personal and work correspondence, including emails and phone calls
- Prepare and edit documents, reports, and presentations
- Manage expenses and maintain financial records
- Coordinate with internal teams and external partners
- Assist with personal tasks as needed, such as managing prescriptions and healthcare appointments, running local errands. (You must have your own transportation.)
- Organize and maintain files and records
- Plan and coordinate events, including team meetings and dinners
- Proactively identify and resolve potential issues before they arise
Specific Measures of Success
No surprises here! After a year on the job, you’ll be measured by these specific outcomes:
- Consistently maintain an up-to-date and well-organized calendar for the Founder
- Demonstrate a track record of completing tasks accurately and on time
- Receive positive feedback from the Founder and other team members on your communication and support
- Successfully coordinate complex travel arrangements without issues
- Effectively manage and prioritize incoming requests and information
- Show initiative in improving processes and suggesting solutions
- Completion of online education and training. You will complete 3 hours per quarter of educational training.
Compensation and Benefits
We believe working side-by-side with an awesome team is the greatest benefit there is, but there are other reasons why we love working at TaxValet including:
- Target annual compensation 400,000 - 500,000 ZAR commensurate to experience.
- 43 days off per year. This includes 22 holidays per year, plus 21 days of PTO per year. Yes, seriously.
