Payroll Administrator
We are seeking a detail-oriented and highly organized Payroll Administrator to join our finance and HR team and ensure the accurate and timely processing of payroll and related functions.
The Payroll Administrator will be responsible for managing the full payroll function for our salaried personnel across multiple entities, ensuring compliance with statutory requirements, maintaining accurate records and supporting employees with payroll-related queries. This is a Paarl-based position.
The successful candidate must have:
- Grade 12 minimum + Qualification in Payroll, Finance, Accounting, or related field
- 5 + years’ experience in a payroll administration role
- Experience with payroll systems (e.g., VIP Payroll or similar)
- Strong knowledge of payroll legislation and statutory requirements
- Advanced proficiency in Microsoft Excel
- Working knowledge of an ERP system
- High attention to detail and accuracy
- Strong organizational and time management skills
- Ability to handle confidential information with integrity
- Excellent communication and problem-solving skills with the ability to to liaise professionally with personnel at all level
- Ability to work under pressure and meet strict deadlines
Primary tasks include
Payroll Processing:
- Capture and process earnings, including overtime, commissions, allowances, bonuses, and salary changes
- Capture and process deductions such as medical aid, pension funds, garnishees, and statutory deductions (PAYE, UIF, SDL)
- Ensure accurate payroll reconciliation and validation
- Prepare and process payroll journals and reports
Reconciliations & Reporting:
- Reconcile payroll to the general ledger and third-party payments
- Prepare monthly reports including earnings, deductions, and cost analysis
- Generate payroll reports (e.g., remuneration lists, department summaries, UIF submissions)
- Assist with SARS reconciliations and statutory reporting
Payments & Compliance:
- Prepare and process payments (salaries, wages, and third-party payments)
- Ensure timely submission of statutory returns (PAYE, UIF, SDL)
- Manage pension fund, medical aid, and other benefit-related payments
- Maintain compliance with all payroll regulations and company policies
Systems & Data Management:
- Maintain payroll data across systems (e.g., payroll software, Excel, and accounting systems)
- Import/export payroll data and ensure accuracy of records
- Update employee information including new hires, terminations, and salary changes
Employee Support:
- Respond to payroll queries and resolve discrepancies
- Distribute payslips and ensure accuracy of employee information
- Assist employees with benefit-related queries (medical aid, pension, UIF, etc.)
Third-Party Administration:
- Liaise with external stakeholders such as pension funds, medical aid providers, and regulatory bodies
- Process benefit applications, changes, and terminations
- Submit required documentation to relevant institutions
Additional Duties:
- Oversee Payroll Administrator: Wages with related wages responsibilities
- Assist with employment equity and statistical reporting
- Maintain proper filing and record-keeping systems
- Support audits and internal controls
- Perform ad hoc administrative duties as required
