A well established wood product manufacturing company based in Phoenix , seeks to employ an experienced, qualified Trip, Logistics Supply Chain Manager;
Duties and responsibilities include;
- Create the company’s supply & logistic chain strategy
- Analyze data from shipping and delivering processes to find bottlenecks and other issues
- Evaluate and report on KPIs
- Monitor logistics to make sure they run smoothly
- Maintain supply & logistic chain inventory and records
- Train and guide employees
- Find cost-effective solutions for supply & logistic chain processes
- Resolve issues that come up (e.g. delays in delivery, accidents)
- Collaborate with other departments to create coordinated plans for business growth
- Develop and implement safety guidelines in all aspects of the supply & logistic chain (e.g. use of trucks, forklifts)
- Ensure supply & logistic chain processes meet legal requirements and standards
- Demand Forecasting: Using analytics to improve forecast accuracy
- Logistics Coordination: Managing transportation networks that impact delivery timelines
- Risk Mitigation: Addressing disruptions such as delays or geopolitical risks
- Technology Utilization: Implementing ERP and AI tools for real-time visibility
- Initiate transport setups as per delivery requirements
- Improve KPI: s transport optimization from MC set up perspective.
- Interaction with Warehouse and Production Logistics to achieve goals.
- Responsible to continuously follow up and act on deviation in the transportation flow.
- Updating transport related parameters in Tracker and other systems
- Contribute with operational colleagues and support an end-to-end process perspective.
- Main contact with Drivers , Branches ,Clients and other ensuring ongoing contact and communication regarding trips and deliveries, transport related questions as well as transport set up, consolidation of transports, transport delivery deviations, transport invoices deviations.
- Interaction with relevant parties and stakeholders as the main coordinator for calling off ,booking and coordination of containers from the port from overseas suppliers, deliveries to export clients etc.
- Maintain contact with drivers for inbound and outbound truck, vehicle despatch ,arrival and delays etc.
- Collaborating with departments and stakeholders to identify and maintain resources needed to establish and provide an effective supply & logistic chain management
- Establishing performance metrics for measurement, comparison, and evaluation of factors affecting the supply & logistic chain management
- Developing policies to increase efficiency throughout the supply & logistic chain management ,implementing and monitoring any subsequent changes to processes and procedures to improve on efficiency.
- Identifying optimal shipment and transportation routes
- Assessing needs for product-handling, equipment required and staffing
- Making recommendations to ensure efficient loading, unloading, movement, and storage of products and equipment being delivered
- Monitoring performance of suppliers by assessing their ability to meet quality and delivery requirements example car track , insurance companies etc.
- Identifying and qualifying new suppliers as and when required
- Functioning as part of the team coordinating changes to improve operational efficiency of trips and deliveries
- Trip Scheduling and Route Planning:
- Plan and optimize daily routes and trips to maximize delivery speed, improve efficiency, and reduce transportation costs.
- Investigate, explore and utilize tracker tool management systems to plan routes and trip mapping enhancing improvement and trip efficiency
- Monitoring and evaluating trip route maps to identify irregularities creating delays and anomalies, including unnecessary over time and fuel consumption.
- Driver Management:
- Supervise, train, mentor, and coordinate drivers and driver assistants ensuring work and trip optimization.
- Scheduling working hours for drivers and driver assistants minimizing overtime through a staggered shift system approach, ensuring compliance with labour regulations, and managing driver safety and retention(i.e. in relation to trips and deliveries).
- Load Management:
- Compile and coordinate proactive , productive route and trip schedules for drivers and driver assistants ensuring just in time delivery processes are achieved.
- Submission of route and trip schedules to the warehouse, branch and other departments timeously preventing delays in stock withdrawal as per picking slips and delays in loading and despatch creating unnecessary over time work and delivery/ trip delays
- Keep updated and abreast with load and vehicle/truck load capacity ensuring trucks are loaded to maximum capacity allowing load productivity and efficiency is met
- Random checks -conduct random checks on loading of trips to ensure proper loading ,handling and securing of goods in transit for delivery and company processes and procedures are followed.
- Performance Monitoring (KPIs): Monitor key logistics KPIs such as on-time delivery rates, load efficiency, driver performance, fuel usage, including monitoring of tracker devices on vehicles used for deliveries.
- Tracker monitoring- ongoing consistent monitoring and tracking of vehicles whilst on route and returning from deliveries.
- Monitor unauthorised , undeclared stops and routes by Drivers
- Monitor Dash camera to identify any unauthorised passengers and drivers using their cell phones whilst driving.
- Tracker reports- Weekly and ongoing review of tracker reports to identify anomalies and irregularities including harsh breaking, speeding and non-compliance to road traffic rules and regulations.
- Compliance and Safety: Ensure that drivers and vehicles comply with all safety regulations, transportation laws, and required documentation (e.g., driver logs, time sheets)(i.e. for all deliveries as per trip log schedules).
- Trip log schedule’s- review and monitor trip log schedules to ensure correct and accurate information is submitted by drivers , driver assistants and administrators.
- Monitor odometer reading on trip sheets compared to fuel transactional reports from the bank to identify irregular fuel ups.
- Monitor frequent regular garages used and investigate to see that no fraudulent activities are carried out by the Driver , driver assistant or other.
- Check tracker consistently – to identify if the company truck or vehicle is parked and stopped in safe and secure areas and not left unattended for lengthy periods of time.
- Monitor overtime worked - to identify pattern forming behaviour’s and ensure overtime worked in within reason and validated .
- Keep a record of and monitor driver PDP and licenses together with vehicle/truck license to ensure licenses, permits, PDP’s etc are valid and not expired or endorsed by the road traffic department with any exceptions or prohibitions.
- Review and evaluate fuel card slips on an ongoing basis to identify irregular and abnormal usage.
- Evaluate trips against revue generation , fuel consumption , kilometres travelled and trip efficiency prior to finalization and sign off and despatch of trip
- Ensure trip allowance and meal allowance – petty cash is aligned to the number of hours worked and qualifying criteria’s set by the company , with receipts submitted by drivers reconciled for all expenses catered for by petty cash or trip expense for the day.
- Problem Resolution: Resolve delivery delays, breakdowns, route disruptions, or client queries in real-time.
- Administrative Duties: Maintain accurate trip records, manage trip budgets and expenses in line with loads and revenue generated from trips in line with Revenue per trip.
- Capture and, process sales orders on trip schedules and ensure invoices are generated prior to Despatch of goods. .
- Overseeing the movement of goods during trips from one stop to another through regular updates and follow-ups with drivers and monitoring of vehicle trackers.
- Allocating and managing driver’s resources required for trips and making necessary arrangements with relevant departments in advance.
- Ensuring all expenses are authorized by management for trips that are out of the ordinary and that do not meet maximum trip and load requirements.
- Using stock management systems to manage stock, plan deliveries and produce performance reports
- Managing a fleet of vehicles for deliveries, ensuring vehicles are allocated to each branch for delivery purposes as per trip schedules and plans by liaising with necessary departments and personnel.
- Receiving, investigating, dealing with and escalating matters arising from goods being transported as per trip schedule.
- Operating a budget and meeting cost and income targets for sales trips and deliveries ensuring maximum efficiency is reached.
- Ensuring all changes to trip schedules and deliveries are communicated to all parties in advance and drivers are kept well informed.
- Planning, coordinating and ensuring all paperwork is for cross-border, export and other deliveries and trips ensuring deadlines are met for delivery of goods.
- Follow up with customs and other where necessary to avoid delays in delivery of goods and to ensure all requires are met for both the Employee and delivery.
- Planning and monitoring inbound and outgoing sales deliveries and movement of stock required for sales orders.
- Researching ideal shipping techniques, routing, and carriers to improve cost effectiveness and efficiency
- Working with other departments to incorporate logistics with company procedures and operations.
- Develop and implement logistics strategies, policies, and procedures to optimize supply chain efficiency, minimize costs, and improve service levels.
- Plan and coordinate logistics operations, including transportation, distribution, warehousing, inventory management, and order fulfillment, to meet customer requirements and delivery schedules.
- Manage transportation activities, including carrier selection, routing, scheduling, and freight negotiation, to ensure timely and cost-effective delivery of goods to customers or distribution centers.
- Monitor and track shipments, orders, and inventory levels using logistics management systems or software, ensuring real-time visibility and control over logistics operations.
- Lead and supervise logistics teams, including Drivers and Driver assistants and inventory controllers, providing guidance, coaching, and support to ensure performance and productivity.
- Collaborate with cross-functional teams, including procurement, manufacturing, sales, and customer service, to align logistics activities with business goals, forecasts, and production schedules.
- Resolve customer inquiries, complaints, or issues related to logistics, transportation, or delivery, ensuring timely resolution and customer satisfaction.
- Stay updated on industry trends, best practices, and emerging technologies in logistics and supply chain management.
- Confirm availability plus convey tentative itinerary to respective driver for approval.
- Coordinate, supervise and implement every aspect of travel arrangements for Drivers and driver assistants for trip and delivery purposes.
- Ensure trip and travel approvals are authorised and delivery deadlines are met.
- Resolve trip related technical conflicts.
- Verify reservation requests made for Driver accommodation as and when required.
- Delegating tasks to appropriate team members as and when necessary to ensure trip and delivery efficiency.
- Meeting deadlines and ensuring goods are delivered on time and as scheduled
- Maintain files and records for trips, and expenses with effective filing systems
- Update records and systems together with trip and delivery documentation on an ongoing basis.
- Establish contact lists and update information periodically regarding Drivers, Driver Assistants, Courier companies etc.
- Interaction with the sales reps, branches and invoicing clerk to ensure that the sales orders are received and processed timeously, and stock invoiced correctly.
- Check with the branches whether the correct stock is loaded and received according to the invoices.
- Regular communication with the drivers when they are out on trips.
- Resolve challenges driver challenges whilst on trip
- Constant monitoring of the tracking system to ensure that the drivers are using the correct routes whenever they are on trips. This should be checked against the trip schedules
- Always adhering to all company policies & procedures
- Assist with relief duties carrying out lawful legal instructions in the workplace during periods that there is no work available.
- Weekly and monthly reports to be submitted to Senior management as per set deadlines.
- Ongoing review and evaluation of reports and other .
- Ensuring all authorisations and sign off by Senior Management and other are in place prior to confirming deliveries and trips.
- Conduct customer Satisfaction surveys to ensure trip and delivery efficiencies are met timeously, and challenges are identified and action plans put in place to avoid future occurrences.
- Carry out any lawful legal instruction as and when required
Job requirements
- Matric
- Tertiary qualification in related field (Trip, Logistics , Suplly Chain Management)
- 5 to 6 years working experience
- Sober habits
- Clear Criminal record
- Good decision making skills
- Excellent written communication skills, especially in the English language
- Basic computer skills, especially email, spreadsheets, Microsoft applications
- Technical Skills: Proficiency in transportation management software (TMS), telematics, and Microsoft Office Suite (especially Excel). (added advantage)
- Knowledge: Strong understanding of DOT regulations, route planning methodologies, and fleet maintenance practices. (added advantage)
- Core Competencies: Strong leadership, communication, problem-solving, and organizational skills
