About the Role:
We are seeking a highly organized and detail-oriented Tenders Coordinator to join our dynamic team. In this role, you will be responsible for the full administrative process of tender submissions, from initial preparation to final submission and follow-up. You will work closely with our project managers, engineers, and other key personnel to ensure that all tender requirements are met in a timely and efficient manner.
Key Responsibilities:
- Tender Preparation and Submission:
- Update tender and project numbers on the Tender Share drive.
- Compile tender results, including competitor pricing, tender submissions, and win rate percentage.
- Prepare and submit comprehensive tender documents, including all technical, commercial, and compliance information.
- Insert mandatory documents for tender requirements, such as Tax Clearance Certificates, VAT Registration Certificates, B-BEE Certificates, and more.
- Draft and submit introduction letters as required.

- Tender Administration:
- Perform full administrative functions for tender submissions.
- Update client and consultant contact schedules regularly.
- Create and manage Tender Programmes, including Evaluation Forms, Technical Checklists, RFQs, and Close-out Reports.
- Follow up with suppliers on outstanding RFQs for engineers.
- Monitor daily tender adverts on platforms like Online Tenders and Leads2Business.

- Document Management:
- Prepare a file index on the tender share drive for efficient document retrieval.
- Ensure all tender documents are correctly compiled, including Schedules of Quantities, Technical Data Sheets, Programmes, Method Statements, Cashflow, and DTI Schedules.
- Coordinate quarterly certification of documents by the Commissioner of Oaths.

- Project Coordination:
- Assist in the creation of CVs for project managers put forward as key personnel on tenders.
- Participate in initial and final tender reviews with the team.
- Update PCI Africa's registration with municipalities and water boards as required.
Qualifications:
- Matric Certificate mandatory
- Relevant administrative diploma
- Proven experience in tender coordination or a similar administrative role.
- Strong understanding of tender processes and documentation requirements.
- Excellent organizational skills with a keen eye for detail.
- Proficiency in Microsoft Office Suite, particularly Excel and Word.
- Ability to work under pressure and meet tight deadlines.
- Strong communication and interpersonal skills.
- A proactive approach to problem-solving and process improvement.
