Career Growth, Hospitality Recruitment is looking for a Front Office Administrator that will play a crucial role in ensuring the smooth operation of the office and providing exceptional front desk support.
Front Office Duties:

Serve as the initial point of contact, greeting and welcoming guests promptly and professionally.

Evaluate visitor requirements and direct them efficiently to appropriate personnel or departments.

Manage and operate the telephone system, including answering, screening, and forwarding calls courteously.

Maintain a clean and organized reception area with readily available supplies.

Ensure that check-in procedures are strictly adhered to and that the correct address and charge out details are obtained from each guest.

Ensure that all charges are correctly entered on the guest’s bill and that this is up to date at all times.

Ensure that credit control procedures are strictly adhered to, that no bills exceed the stipulated limit without prior approval and that written confirmation, purchase orders, or order numbers are on file.

Ensure that accounts are balanced daily.

Ensure accurate and timeous submission of all reports and administrative work.

Manage PMS system settings & keep all databases up to date, including rate management.

Ensure that enquiries, messages, etc. are dealt with courteously and efficiently.
Admin Duties:

Ensure daily revenue reports are updated accurately & distributed.

Ensure daily EOD procedures as completed & processed, ensuring all postings have been posted, & are accurate.

Reconciliation of daily credit card reports, processing & reporting of any variances.

Allocation of bank transfers on the PMS system on a daily basis, & reconciliation to OPERA reporting.

Reconciling & processing of cash takings on a daily basis & management of cash inflow.
Candidate Requirements

Applicants must have at least 1-3 years’ experience in a related field with a solid track record working in a similar role within the Hospitality Industry.

Previous working experience in a luxury hotel/restaurant (advantage).

Matric is a minimum requirement, but a further qualification is a bonus.

Great knowledge of MS Office and PMS/POS systems.

Fully computer literate.

Valid RSA ID.

Great attention to detail and service oriented.

Excellent communication skills (both written and verbally).
