The Administrative Assistant provides efficient administrative and operational support to the Homeowners Association. This role focuses on stock take and stock control for the restaurant and bar operations, basic financial administration, resident and owner communication through My Estate Life, and providing day-to-day support to the administrative team. The role requires strong organisational skills, accuracy, professionalism, and the ability to assist with routine office functions to ensure the smooth running of the estate office.
Key Responsibilities
· Conduct regular stock take for the restaurant and bar, including beverages, food-related stock, and operational supplies.
· Maintain accurate stock records for restaurant and bar inventory, and assist with stock control, re-order levels, and monitoring usage trends.
· Support basic financial administration, including capturing invoices, reconciling the tips for the staff etc.
· Manage and monitor communication on My Estate Life, including resident queries, notices, updates, and follow-up communication.
· Ensure resident communication is professional, timely, and accurately recorded where required.
· Provide general administrative support, including filing, scanning, data capturing, document preparation, and maintaining office records.
· Answer telephone calls, respond to emails, and assist residents, trustees, service providers, and visitors in a courteous and professional manner.
· Support the other administrative assistant with daily tasks, workload management, and office coverage during busy periods or absence.
· Assist with preparing correspondence, notices, and general communication to homeowners and residents.
· Maintain up-to-date databases, contact records, and administrative systems.
· Assist with coordinating service provider communication and follow up on routine administrative matters.
· Help ensure the office operates efficiently by keeping documents, supplies, and communication channels organised and current.
· Carry out other reasonable administrative duties required to support the smooth functioning of the HOA office.
Pay: From R8 000,00 per month
Ability to commute/relocate:
- Strand, Western Cape: Reliably commute or planning to relocate before starting work (Preferred)
