Duties/responsibilities:
Office Administrator
- Ø Attend to visitors when they arrive at the gate comply with our visitor policy before opening the gate.
- Ø Assist with compiling grocery lists for weekly/monthly grocery lists.
- Ø Assist the teachers with printing, email or call requests.
- Ø Ensure that you keep up to date with each month’s year plan activities and action thenecessary arrangements to make the day a success, e.g., send reminder emails to the parents, get list of requirements if the school needs to purchase any items, make bookings, call external providers etc.
- Ø Schedule meetings between the principal, teachers, contractors, and other stakeholders
- Ø Assist with ensuring that the school is compliant in all areas.
- Ø Assist with the necessary requirements by the Department of Education
- Ø Actively research on possible grants that the school can apply for and gather all theinformation required to submit for the applications.
- Ø Maintain files and records with effective filling systems.
- Ø Ensure that parents complete all the forms supplied to them correctly and all therequired documents are submitted e.g., supporting documents upon application.
- Ø Conduct safety checks at least once a month such as, fire extinguishers are in goodworking condition and are in their proper location and check if the first aid kits aresufficiently stocked.
- Ø Assist with registration for courses and coordinate the staff’s attendance.
- Ø Search for life skills training opportunities that can be provided to the children andarrange for providers to visit the school e.g. child safety / dental hygiene etc.
- Ø Monitor office supplies inventory and place orders.
- Ø Assist in supplier relationship management.
- Ø Liase with the accounts department to sort out parents’ queries on fees.
- Ø Ensure that staff members have completed their leave forms and submit them to accounts either as received or a day before month end.
- Ø Identify trends and inform management of ways to improve efficiency and processes at the school
- Ø Ensure that all the children’s files are up to date and we have all the required information
- Ø Handle all booking requirements for school events / trips which include, catering, confirming bookings etc
- Ø Ensure that all the registers are completed and handed in to accounts before the end of each month, this includes pre/after care and the daily registers.
- Ø Travel with the company driver to do shopping if and when requested to do so.
- Ø Assist with take pictures of the children taking part in school events and posting themon our social media accounts
- Required Skills/Abilities:Ø Proven experience as office coordinator or similar role Ø Experience in customer service
Ø Working knowledge of MS office
Ø Excellent communication and interpersonal skillsØ Organized with the ability to prioritize and multitask
Ø Reliable with patience and professionalism
Ø Time management skills as they will set and maintain schedules for required projects Ø Project management
Ø Organization and flexibility
Ø Promote process improvement
- Education and Experience:
- Ø Matric or equivalent
- Ø Qualification in office administration or business management would be anadvantage
- Ø At least 3 years’ work experience in an office administration role or similar
Job Type: Full-time
Pay: R5 000,00 - R6 000,00 per month
