PRIMARY PURPOSE
To manage member accounts ensuring they are a true and accurate record of member transactions at the Club, contacting members with outstanding accounts and resolving queries timeously, and supervising credit control personnel and processes.
KEY RESPONSIBILITIES
▪ Supervise credit control personnel and processes.
▪ Manage member accounts within an alphabet range as determined by management.
▪ Update and maintain membership data for allocated members.
▪ Open and load new temporary accounts for non-members.
▪ Open reciprocal member accounts within the portfolio allocated by management.
▪ Monthly close-off of membership accounts.
▪ Telephonically contact members at 30 days to ensure satisfaction with charges on their account.
▪ Consistently contact members (telephonically and in writing) to ensure accounts at 60 days and over are settled.
▪ Ensure outstanding amounts do not exceed set thresholds: 60-day book at 3% and 90-day book at 1% of total book value.
▪ Ensure subscriptions are collected at least by April each year.
▪ Resolve member queries within 48 hours; escalate delays timeously.
▪ Raise and process membership journals.
▪ Raise ad-hoc invoices as requested by members.
▪ Raise pro-rata subscription invoices where necessary.
▪ Accept and process membership charges where required.
▪ Charge Club functions where required.
▪ Load deposits for functions and reconcile the GL account at month end.
▪ Reconcile the management prefund and club account at month end.
▪ File member correspondence.
▪ Generate reports and reconcile accounts related to this position as required by management.
▪ Assist other credit controllers during periods of leave.
▪ Ad-hoc projects as and when required by management.
PERSONAL ATTRIBUTES & SKILLS
▪ Mature individual with strong written and verbal communication skills.
▪ High attention to detail and accuracy.
▪ Ability to work well under pressure.
▪ Computer literate in Excel, Word, and Outlook.
▪ Working knowledge of accounting software, preferably Jonas.
▪ Honest and reliable.
MINIMUM / PREVIOUS EXPERIENCE
▪ Minimum of 10 years’ experience in credit control, with proven exposure to a Senior Credit Controller role.
▪ Previous experience in a Club environment and with Jonas Club Management software is
advantageous.
QUALIFICATION
▪ Minimum Matric.
▪ Diploma/Certificate in Bookkeeping or Credit Control (preferred).
