About the Role
We are looking for a highly organised and reliable Admin Coordinator / Business Support Assistant to help manage the day-to-day admin, client communication, bookings, records, and general business support tasks.
This is a varied role suited to someone who enjoys keeping things organised, following up on details, managing communication, and helping a business run smoothly. The right person will be proactive, trustworthy, and confident working independently once trained.
There is a small health and safety training element within the business, so experience in training administration, compliance, certificates, bookings, or similar would be an advantage, but it is not essential.
Key Responsibilities
- Managing email inboxes and responding to routine enquiries
- Answering phone calls, taking messages, and handling client queries
- Booking appointments, meetings, training sessions, and consultations
- Managing calendars, diary scheduling, reminders, and follow-ups
- Preparing and sending quotes, invoices, payment links, and basic documents
- Following up on unpaid invoices, outstanding payments, and client information
- Updating client records, contact details, spreadsheets, trackers, and internal systems
- Organising digital files, folders, documents, and templates
- Managing online booking systems, CRM systems, and internal databases
- Coordinating with clients, suppliers, contractors, trainers, and team members
- Preparing forms, reports, summaries, meeting notes, and action lists
- Managing task lists and checking progress on outstanding items
- Handling customer service queries in a professional and helpful manner
- Sending onboarding emails, welcome information, reminders, and client updates
- Supporting training-related admin such as certificates, logs, documents, and expiry reminders
- Researching suppliers, venues, tools, or business opportunities when required
- Gathering testimonials, reviews, or client feedback
- Helping improve admin systems, checklists, SOPs, and workflows
- Supporting general day-to-day business tasks as needed
Essential Requirements
- Previous experience in an admin, office support, virtual assistant, PA, coordinator, or business support role
- Strong organisational skills and excellent attention to detail
- Confident managing emails, phone calls, client queries, and follow-ups
- Ability to manage multiple tasks, deadlines, and moving parts
- Comfortable using spreadsheets, online systems, and digital tools
- Good written and verbal communication skills
- Reliable, professional, and able to work independently once trained
- Proactive approach - able to spot what needs to be followed up or organised
- Comfortable working in a varied role where priorities may change
Desirable
- Experience using CRM systems, booking systems, or project management tools
- Experience preparing quotes, invoices, payment links, or client documents
- Experience in a training, compliance, education, or health and safety-related business
- Familiarity with training records, certificates, course bookings, or refresher dates
- Basic Canva, document formatting, or branded document creation skills
- Experience supporting customer service, sales admin, or client onboarding
