Job Description: Personal Assistant Supporting School Executive Team
Position Overview:
We are seeking a highly organized and efficient Personal Assistant to provide comprehensive administrative support to the School Executive Team at Vector College. The Personal Assistant will play a critical role in ensuring the smooth operation of the executive office and supporting the team in their day-to-day tasks and responsibilities.
Responsibilities:
1. Calendar Management: Manage the executive team's calendars, including scheduling meetings, appointments, and travel arrangements. Ensure all appointments and deadlines are organized and met.
2. Communication and Correspondence: Handle incoming and outgoing communications on behalf of the executive team, including emails, phone calls, and other forms of communication. Draft and proofread correspondence, presentations, and reports as required.
3. Meeting Coordination: Plan and coordinate meetings, including preparing agendas, taking minutes, and distributing meeting materials. Ensure all necessary resources and materials are available for meetings and follow up on action items.
4. Document Management: Maintain and organize confidential information, records, and documents. Create and maintain filing systems and ensure easy accessibility and retrieval of information.
5. Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for the executive team as needed. Handle any changes or adjustments to travel plans efficiently and effectively.
6. Event Planning: Assist in planning and organizing school events, conferences, and workshops. Coordinate logistics, including venue selection, catering, and audiovisual requirements.
7. Project Support: Provide support to the executive team on various projects and initiatives. Conduct research, gather information, and prepare reports or presentations as required.
8. Relationship Management: Build and maintain positive relationships with stakeholders, including parents, staff, and external partners. Represent the executive team professionally and effectively.
Qualifications:
- Proven experience as a Personal Assistant or similar role, preferably in an educational or corporate setting.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- High level of professionalism, discretion, and confidentiality.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and accuracy in all tasks.
Education and Experience:
- Bachelor's degree or equivalent qualification preferred.
- Previous experience supporting senior-level executives is an asset.
