About the Role:
As a Virtual Assistant, you will support the daily operations of the consultancy by managing client relationships, administrative tasks, and financial processes. You’ll collaborate directly with the consultant to ensure client interactions are well-documented, financial data is accurately maintained, and reports are delivered in a timely manner.
- CRM Management: Oversee and manage the client database in HubSpot, ensuring data is updated and well-organized.
- Meeting Documentation: Take detailed notes during client meetings and ensure proper follow-up on action items.
- Pipeline Reports: Generate and maintain reports on the client pipeline and progress.
- Invoicing & Financial Documentation: Process and manage invoicing, along with other finance-related administrative tasks.
- Database & Information Management: Maintain organized databases with client, financial, and resource information.
- Research & Funding Resources: Conduct research to identify potential funding resources and provide insights.
- Marketing Support: Assist in executing basic marketing activities and strategies.
- Proposal Writing & Tenders: Support the preparation of proposals and tenders for potential clients or projects.
- Operations Support: Handle daily operational tasks and ensure smooth workflow across functions.
Requirements:

3-5 years of experience in a similar VA or administrative role, preferably within a financial or consulting environment.
- A bachelor’s degree in Business is a must; an MBA is a plus.
- Proficiency in HubSpot CRM, Microsoft 365, Excel, and PowerPoint.
- Strong documentation and organization skills, particularly in pipeline management and invoicing.
- Basic marketing knowledge and understanding of accounting principles.
- Experience with proposal writing and managing tenders is an advantage.
- Strong attention to detail, excellent communication skills, and the ability to work independently in a remote setting.
Position: Virtual Assistant
Remote Status: Fully Remote
Working Hours: 9 am to 6 pm EST
Salary: USD 1200 to USD 1600 per month
