JOB DESCRIPTION: FLEET CONTROLLER / DISPATCHER
Department: Operations
Location: Durban, KZN
Reports To: Operations Manager / Night Shift Supervisor (where applicable)
Role Type: Full-Time, Shift-Based (including weekends & public holidays)
1. Role Purpose
The Fleet Controller / Dispatcher is responsible for managing the safe, compliant, and efficient execution of daily fleet and driver operations. This includes dispatching, tracking, driver coordination, real-time problem-solving, documentation control, and maintaining full compliance with HSSE standards and transport regulations. The role ensures seamless delivery execution through close monitoring of fleet movement and proactive communication with internal teams and customers.

3. Day Shift ResponsibilitiesFleet Dispatch & Tracking
- Dispatch fleet for deliveries, loading, and enroutes.
- Track fleet and provide 2-hourly updates.
- Ensure the daily plan is received from the Scheduler by 1pm.
- Complete and issue all loading documents accurately by 4pm.
Driver Management
- Conduct proper briefings and debriefings with all drivers.
- Ensure all PODs are closed off correctly within the shift.
- Respond to customers promptly and respectfully on communication platforms.
Breakdown & Delay Management
- Attend to breakdowns immediately:
- VRV for internal repairs
- MBD for external mechanical breakdowns
- TBD for tyre breakdowns
- Follow up consistently on breakdowns and customer delays.
- Report all deviations: incidents, breakdowns, LOBs, or driver issues.
Operational Flow & Handover
- Ensure efficient fleet turnaround with no unnecessary delays at depots or sites.
- Complete a detailed, signed handover to the night shift.

4. Night Shift Responsibilities
(Managed under the supervision of Night Shift Manager)
Fleet Dispatch & Monitoring
- Properly dispatch trucks and drivers according to the night plan.
- Issue the correct documentation to the correct vehicle and driver.
- Ensure the preload plan is fully executed.
Operational Compliance & Monitoring
- Ensure all planned refuels, truck washes, tyre checks, and PMIs are completed.
- Report all gantry delays in writing on customer groups.
- Track fleet and provide 2-hourly updates.
Driver Communication & Reporting
- Conduct proper briefings and debriefings.
- Close off PODs accurately during the shift.
- Communicate all operational issues to customers in writing.
- Alert CSC of any last-minute plan changes after consultation with the Scheduler.
Night Shift Focus:
Manage your business and ensure uninterrupted operational flow.
5. Qualifications & Experience
- Grade 12 (Matric) – required
- Minimum 3 years’ experience in fleet controlling, dispatching, or ops control
- Fuel logistics experience is essential
- Knowledge of: Legal vehicle compliance (COF, calibration, permits), Driver compliance (PDP, medicals, DG training)
- Strong computer literacy (Excel, tracker systems, planning boards)
- Strong command of operational communication (written & verbal)

7. Compliance & HSSE
- Adhere to Crusade Logistics HSSE processes and enforce compliance.
- Report all safety deviations, near-misses, and incidents.
- Maintain operational discipline across fleet and drivers.
- Ensure PPE, registers, and compliance documents are updated.
8. Work Environment
- Shift-based operations (dayshift and nightshift rotation).
- Weekend and public holiday work required according to the roster.
- High-pressure, fast-paced operational environment.

Pay: Up to R14 000,00 per month
Experience:
- Fleet Controlling : 3 years (Required)
