Retail Centre General Manager
Job Purpose:
Responsible for the overall management and maintenance of this co-owned centre to provide long-term profitability, sustainable growth and maximize returns.

Duties and responsibilities
1. Financial Management
o Prepare financial strategies, formulate business plans, monitor and control income and expenditure according to business plan objectives
o Formulate annual budget, calculate trading densities, ratio analysis, Creating and overseeing a culture of analysis / audits and management accounting / reporting accuracy.
o Collection commission fees and manco reporting. Detailed analysis and understanding of sectoral cost to income ratio
o Reduce number of accounting entries and audit queries.
o Oversee VAT submissions
o Oversee tax submisions on management company
o Manage and report irregular financial transactions to FIC and drive the compliance thereof being the compliance officer. Keeping up to date with change in legislation.
o Coordinate annual AGM of co-owners together with discussion on financial statements
o Ensure secretarial compliance of the company in conjunction with the co-owners
o Identify key capex projects and ensure that they are correctly budgeted.
o Ensure capex projects are done within the budgeted period and cost as well as in line with procurement policies.
- Forecasting and accruals:
o Ensure accruals are raised as required monthly and at year end together with the portfolio accountant.
o Accurate income and expenditure forecasts to be done monthly including utilities to ensure budget or better net income is delivered.
o Full analysis and management of the utilities including management of any solar / generator recoveries in line with approved methodology and inputting strategies to improve recoveries on all utilities.
o Credit control and arrears management in line with targets set by Landlord. Timeous action taken on defaulting tenants including the handing over of debt to attorneys for collection. Financial arrangements where required to be negotiated with tenants.
o Calculate and raise turnover rentals where applicable and ensure all turnover rental certificates are received as required in terms of the lease agreement.
o Check and sign off monthly petty cash
2. Leasing
o Lease negotiations on both renewals and new lets for all tenants In conjunction with Asset manager
o Accurate deal analysis information sheets to be compiled for approval and sign off as well as feasibilities on deals to be signed off by Landlord;
o Manage outstanding leases documentation and keep same to current leases only.
o Annual leasing strategy to be presented with budgets and continuously updated as the building changes together with Co-Owner portfolio manager.
o Ensure offers to lease and/or heads of agreements and/or lease agreements are correctly drafted and signed in line with the Landlord’s requirement.
3. Risk Management
o Ensure OHS training required for staff at the building is identified and planned in conjunction with the General Manager
o Ensure policies and procedures with regard to risk are implemented.
o Identity OHS compliance in all areas of the building including court space.
o Ensure all incidents are reported timeously to insurers.
o Management of external contractors in terms of both SLA and OHS requirements.
o Implementation of and daily management of the preventative maintenance plan and general operational requirements with the Operations Manager.
4. Administration
o Ensure accurate monthly turnover report including
o Check all billing forward statements on MRI to ensure accurate billing to all tenants and ad-hoc accounts including all recoverables
o Ensure compliance with all policies and procedures including but not limited to POPIA.
o Ensure compliance with requirements as set out by the PPRA including ongoing CPD points earning.
o Quarterly MSCI and Clur Collective submissions
5. People Management
o Conduct bi-annual reviews with all staff.
o Identity training needs, succession planning opportunities and manage non-performance together with Growthpoint GMS
o Recruitment to be done in line with the transformation policy in conjunction with Growhtpoint HR.
o Keep and establish relationships with all community leaders, ward councilors etc.
6. Marketing Management
o Responsible for the development of Marketing strategies in conjunction with Marketing professionals.
o Ensure annual marketing budget and strategy is prepared, relevant to the centre and in line with leasing strategy for presentation with the annual budgets.
o Ensure marketing company achieve their set KPI’s and comply with the SLA in place.
o Ensure best use of marketing funds for the betterment of the building.
o Building mutually beneficial relationships with tenants both in the mall and at national head offices
7. Reporting
o Prepare management packs monthly, together with all the required reports at least 75 working days before the management meeting.
o Record of monthly minutes of management meetings to be included in monthly management packs.
