The Human Resource Assistant is responsible for performing HR- related duties on a professional level and will work closely with the Human Resource Manager. The HR Assistant duties involve a wide range of support activities inside our HR department, from coordinating meetings to maintaining our employee database to posting job ads. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.
Duties & Responsibilities:
1. Recruitment and selection
- Assist the HR Manager with the overall recruitment process
- Post job ads and vacancies on job boards and social media
- Screen resumes and job applications
- Schedule and coordinate job interviews
- Assist in background and reference checks
- Assist in preparing job offer letters
- Send regret letters to unsuccessful candidates
2. Onboarding and exit of employees
- Orient new hires to the organization
- Take care of new hire paperwork and logistics – employment contracts, setting up online stationary, computer logins, email addresses, etc.
- Schedule one-on-one meetings to discuss company policies. Provide employee information.
- Serve as point person for all new employees’ inquiries.
- Help during exit interviews and complete termination documentation.
3. Record-keeping and reports
- Maintain accurate and up-to-date employee records, documents, including personal information, employment contracts, performance evaluations, and benefits documentation
- Monthly employee data reports with demographics, turnover and leave reports to generate HR reports
- Ensure employee data is handled and protected under applicable compliance laws.
4. Leave Management
- Manage and monitor all leave applications.
- Verify supporting documents
- Manage leave balances and projections with line managers
- Monthly leave reports
5. Coordinate reward and recognition campaigns
- Annual plan and reminders to employees
- Manage, analyse & present data of campaigns
- Prepare presentations and rewards
General & Ad hoc
- Follow-ups, reminders and confirming appointments related to the HR Department.
- Arrange and setup of online remote employee engagements
- Manage & order employee clothing when needed.
- Book venues and parking
- Assist with switchboard duties.
- Prepare, organise and distribute company notices and communication
Requirements
Minimum Requirements
- Relevant Qualification in Human Resources
- Minimum of 3 years’ experience in HR administration or related role
- Strong knowledge of HR principles, practices, and regulations
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong Microsoft skills in Excel, Word, PowerPoint and Teams skills
- Must have experience (or strong knowledge) of the full HR Value Chain
