Job description:
The role involves effective day-to-day management and coordination of office requirements and facilities management as well as providing effective practice support.
Responsibilities:
- Overall administrative management of office facilities, equipment, and consumables, including office maintenance, supplier coordination, inventory control, procurement, budget monitoring, and ensuring the smooth and efficient operation of the office environment. Ensure the office environment is clean, organized, and professional.
- Business operations (supplier management, facilities management, lease maintenance, service provider contracts maintenance)
- Infrastructure and IT maintenance
- Staff coordination (leave administration, new employee onboarding, training coordination and staff wellbeing)
- Office Compliance & Governance (monitoring of compliance and regulatory requirements, audit preparation and risk management coordination)
- Implementation of new systems (such as Copilot, Quickly Sign, Astute, Gravitas) in the office and managing the payment of fees
- Efficient co-ordination and planning of client functions
- Planning of office functions
- Executive support to Partners (practice reports, meeting coordination, liaising with regional manager and follow-up on action items)
- Coordination of information and tasks between partners and staff
- Assist with answering/redirecting incoming calls, taking messages, greet clients and visitors to the office
- Coordinate travel arrangements, accommodation bookings, diary management, arrangement of parking and boardroom meeting reservations
- Ad-hoc support function for administrative staff
- Relationship Management with product providers
- Ad-hoc and special projects
Minimum requirements:
- Matric/Grade 12 or a relevant degree or diploma (Advantageous)
- 3–5 years of relevant experience within financial services. Experience
- Proficient in English and at least one other official South African language.
- Computer literate (MS Office)
- Valid driver’s license and own reliable vehicle (non-negotiable)
