Office Administrator
Based at Weatherboard Sawmill, Creighton, KwaZulu Natal

The incumbent is responsible for all Office Administration as well as the consolidation of incoming logs to the sawmill and the receptionist duties. The position requires the incumbent to have strong administrative skills who gives absolute attention to details and must have the ability to deal with numerous activities simultaneously and meet conflicting deadlines.
The individual should execute receptionist duties in a professional manner. The reception area should always be clean and tidy, and visitors should be courteously treated and respectfully received. Incoming telephone calls should be promptly and professionally attended to.
The Office Administrator plays a critical role in facilitating communication by providing information timeously to the local and head office teams, ensuring office equipment is in good working order, office supplies are well stocked and should assist back-office staff with ad-hoc tasks that may range from purchase order transactional activities to wage-related or Kronos timesheets.
Administration
-
Collect, consolidate and validate logs delivered to the sawmill to track volume and transport cost details.

Collect, consolidate and validate use of depot fuel for accurate cost recording and highlight anomalies.

Sawmill revenue - sale of sundry stock.

Stationery and office equipment – raise ServiceNow tickets for faults.

Office/mill consumables e.g., tea, coffee, sugar, cleaning supplies
Reception
-
Welcome visitors and inform Sawmill Staff accordingly.

Answer incoming telephone calls promptly and politely.

Record messages accurately and relay them timeously.
General
-
Direct appropriate information to F&M Administrator at HO for stock reporting/controls

Back-up for Micro Forest capture
-
B-BBEE support to obtain and update vendor certificates for Forestry & Milling

Responsible for information gathering for Vendor creation, modification and extensions.

Maintain an accurate and up-to-date filing system.

System testing as/when required.

Review and update SOPs as required.

Ad hoc tasks required to support the Administration, Wage and Finance teams.
Skills and Knowledge
