Role Overview
This is a core operations role responsible for managing the flow of publishing projects from onboarding to completion.
You will ensure that every client and every book project moves smoothly through the system — on time, well-coordinated, and professionally delivered.
You are not a salesperson — you are the execution backbone of the publishing process.
Key Responsibilities
1. Client Onboarding & Management
- Receive new clients from the Business Development team
- Onboard clients and explain publishing process, timelines, and expectations
- Maintain structured communication with clients throughout the project lifecycle
- Ensure a professional client experience from start to finish
2. Project Coordination (CORE FUNCTION)
- Track all publishing projects from start to completion
- Coordinate tasks between editor, designer, and web/marketing teams
- Ensure deadlines are met and deliverables are completed on time
- Maintain clear project status tracking and updates
3. Workflow & Systems Management
- Organise manuscripts and publishing materials in a structured system
- Maintain a clear pipeline (Writing → Editing → Design → Publishing → Marketing)
- Prevent delays, miscommunication, and project bottlenecks
- Ensure all files and project documents are properly stored and managed
4. Client Communication & Support
- Provide regular project updates to clients
- Handle basic client queries and concerns professionally
- Escalate issues when necessary to management
- Maintain strong client satisfaction throughout the publishing process
5. Administrative Support
- Assist with basic invoicing coordination
- Track project payments and status
- Maintain organised client and project records
Performance Expectations
Within the first 90 days, the successful candidate must demonstrate:
- Ability to manage multiple publishing projects simultaneously
- Strong organisation of workflow and deadlines
- Consistent communication with clients and internal team
- Reduction of delays or project confusion
- Reliable execution without constant supervision

- Experienced in admin, coordination, publishing, media, or project management
Experience in publishing, content production, or creative industries is an advantage.

Work Structure
- Fully remote (South Africa-based only)
- Weekly check-ins with leadership team
- Daily coordination with internal team members
- Potential hybrid/office setup in Johannesburg later in the year
