Overview:
We are seeking a Compliance Auditor (Med Spa & Aesthetic) to evaluate national practice compliance using our Chief Medical Officer’s scorecard. You will conduct post-launch and annual evidence-based audits—identifying risks around scope-of-practice, Good Faith Exams, product sourcing, and marketing—and leverage AI (Claude) and CRM tools to deliver actionable risk-mitigation reports to practice leaders and legal counsel.
Responsibilities:
- Initial Post-Launch & Annual Audits: Examine new client locations 6–8 weeks post-launch and on an annual recurring cycle. Collect and audit evidence sets including MSO/entity agreements, medical director oversight logs, provider licensure, written delegation structures, training files, procedure consents, lot tracking, and marketing claims.
- Virtual Facility Walkthroughs: Conduct live or recorded video walkthroughs to verify physical operating conditions—including cold chain refrigeration, toxin reconstitution, single-vs-multi-dose vial handling, expiration dates, emergency supply readiness (e.g., in-date hyaluronidase), laser safety protocols, and privacy standards.
- Evidence-Based Rubric Scoring: Apply state-, licensure-, and federal-specific weightings across all client configurations. Ensure every score traces directly to verifiable documentation, screenshots, chart samples, or observed physical evidence without relying on subjective impressions.
- AI-Assisted Report Generation (Claude): Compile comprehensive audit reports using Claude from rubric outputs and evidence files. Independently verify every regulatory citation, score, and factual assertion prior to final delivery.
- CRM & Compliance File Management: Establish and maintain audit-ready client compliance files in the CRM. Track master audit schedules, re-audit triggers, and open findings to ensure full operational traceability across the portfolio.
- Deficiency Escalation & Re-Auditing: Escalate identified deficiencies to medical leadership for Corrective Action Plan (CAP) development. Conduct follow-up re-audits 6–8 weeks post-remediation to verify closure, partial closure, or persistence of findings.
- Operational Independence: Maintain strict audit boundaries: evaluate and score findings without designing remediation plans, offering legal opinions, making clinical treatment judgments, or informally modifying rubric weightings mid-audit.
Requirements:
- Aesthetic Operations: Hands-on experience in a med spa/aesthetic setting (e.g., Practice Manager, Lead Injector, Clinical Ops, or Compliance Specialist).
- Regulatory Knowledge: Firm grasp of MSO/CPOM structures, GFE requirements, provider delegation rules, esthetician scope boundaries, laser safety, and FDA product tracking.
- Clinical Safety & Readiness: Familiarity with complication protocols (vascular occlusion/hyaluronidase), cold chain management, infection control, and compounded meds (503A/503B).
- Audit Discipline: Objective, rubric-based evaluation skills without providing unauthorized legal/clinical advice.
- Tech & AI Skills: Proficiency with CRM systems and AI tools (Claude) for data synthesis and report drafting.
- Communication: Ability to produce clear, precise, and objective written regulatory reports.
Must to Have:
- Prior QA, compliance, accreditation, or regulatory audit experience in healthcare or aesthetics.
- Multi-state aesthetic operating experience with an understanding of state-by-state regulatory variations.
- Recognized compliance or clinical credentials (e.g., RN, NP, PA, CHC, CPCO, Certified Laser Safety Officer).
