New loveLife Trust is an NGO that campaigns with nationwide community level outreach and supports programmes that promote healthy, HIV-free living and Youth Leadership Development among young South African teens. loveLife has reached unprecedented scale in implementing cutting-edge comprehensive and combined social behaviour change programming face-to-face with adolescents.
The Trust is looking to recruit a suitable candidate to provide overall leadership for loveLife’s Financial, ICT, SCM and Facilities processes to ensure financial stability and sustainability. This function seeks to provide a strategic and professional financial management and administration system that is in line with loveLife objectives. The successful applicant would be required to fulfil the following primary functions in a professional manner and with technical excellence:
FINANCE OPERATIONS & REPORTING
· General management of the National Finance Department
· Preparation of Annual Financial Statements in line with the Trust’s accounting policies and its investment arms
· Ensure monthly expenditure reports are prepared for the organisation’s Management Teams
· Review and authorise all journals for posting in ERP System in line with the Delegation of Authority
· Review and authorise all GL reconciliations and ensure all Balance Sheet accounts are reconciled monthly.
· Sign off monthly Trial Balance to Management Accountant for preparation of monthly management accounts and other reports.
· Participate in Business Plan drafting and reviewing the plans with the Programmes.
· Audit Management - Effective management of internal and external audits
· Ensuring all audits are conducted in line with auditing principles.
· Ensure all Audit and Risk requirements are adhered to.
· Quarterly reporting to the PIC for Kurisani Trusts and Companies.
· Prepare Quarterly reports for Kurisani Board Meetings.
· Management of the Kurisani Trusts and Companies audit.
BUDGET FORECASTING AND PLANNING
· Ensuring that all departmental budgets are done accurately and in line with projected funding.
· Ensuring that the budget is finalised on time for sign off by Governance Audit and Risk Committee of the Board.
· Ensure that budgets are prepared in adherence to the Trust’s policies.
INFORMATION COMMUNICATION TECHNOLOGY MANAGEMENT - MANAGEMENT OF THE NATIONAL ICT DEPARTMENT
· Implement new technologies in line with the IT strategy.
· Oversight of Provincial and National ICT infrastructure and requirements
· Ensure an ICT register is kept up to date and signed off monthly.
· Ensure monthly alignment between the ICT register and ICT equipment on Asset register.
CASH FLOW MANAGEMENT
· Ensure that Donor funding is received/collected on time after all reports are done in line with donor requirements.
· Ensure supplier payment prioritisation where these are beyond the 30 days’ credit terms.
· Timely cash forecasting monthly with revisions when priorities change.
· Communicate negative cash flow projections in advance for planning purposes.
· Focal point for all bank accounts decisions and treasury requirements.
FIXED ASSETS MANAGEMENT
· Review and sign off Fixed Assets register reconciliation to GL monthly.
· Ensure that capitalisation, disposals and depreciation transactions are captured accurately in GL.
· Ensure that funder assets are management in line with the Service Level Agreements in place.
SUPPLY CHAIN MANAGEMENT, WAREHOUSING AND FACILITIES
· Provide oversight of procurement needs and compliance of the organisation.
· Ensure Quarterly stock taking is completed.
· Oversee the distribution of stock nation-wide.
· Oversight of BBBEE verification and maintenance of a compliance status
· Provide oversight on organisational Occupational Health Safety compliance.
· Ensure facilities are well maintained in line with availability of funds.
TAXATION
· Ensure all direct and indirect tax payments are done timeously to avoid penalties and non-compliance.
· Review and sign off VAT and EMP reconciliation monthly, and annually.
· Review and submit all Tax Returns to Revenue Collection office and resolve related matters with regards to tax payment and refunds.
· Review and sign off Annual tax return.
· Maintain the organisations PBO status.
PAYROLL
· Review and sign off payroll on a monthly and bi-weekly basis.
· Advise HR on donor appointments and or changes.
FINANCIAL SUSTAINABILITY
· Donor Management and Reporting.
· Donor Relationship Management for the full cycle of the relationship - from preparation of financial projections for donor proposals to final audit at the end of the contract.
· Work closely with the Business Development Unit to cost proposals and determine the social return of investment for every grant received.
· Ensuring that Donor reports are done in line with donor requirements and on deadline.
· Assume full responsibility and ownership of Donor Reporting, Management and Requirements.
· Assume full control of the integrity of all reports to donors.
· Short, Medium and Long Term Investment for the sustainability of loveLife.
· Determine the loveLife long-term investment policy and guidelines in line with the limitations placed by the Non Profit Act.
· Liaison with Kurisani Trust to constantly explore opportunities for growing the investment portfolio for the benefit of loveLife.
· Drive the identification of opportunities to generate revenue through various offerings of loveLife in coordination with the Business Development Unit.
· Provide strategic leadership for the development and expansion of the loveLife advisory services, in line with the limitations placed by the Non Profit Act and other relevant legislation
GOVERNANCE
· Attendance and reporting to the Board of Trustees and Audit and Risk Subcommittee for loveLife and Kurisani.
· Prepare the full finance pack for the meetings of the board of trustees as well as for the audit and risk subcommittee of the board.
· Ensuring the implementation of all finance related resolutions passed at legally constituted.
· Assume Risk officer duties of the organisation.
Suitable candidates will need to satisfy the following requirements:
· B. Com Accounting/Finance and a professional Accounting Qualification
· Completion of articles (added advantage)
· 10 years Financial Management Experience
· Strong and proven leadership, strong networker in business, government and development sectors
· Experience in developing and implementing financial policies and procedures
· Knowledge of Fund Accounting, including reporting requirements of major Government and Aid agencies
· Team Management Experience
· A keen interest in development work, especially among young people
· Computer literacy in all Microsoft packages
· Knowledge on Enterprise Wide Risk Management
· Practical knowledge of Pastel Evolution and Payroll systems will be an advantage
· Integrity and Attention to detail
· Willingness to work beyond the call of duty
