Position Overview:
We are seeking a highly organized and proactive Personal Assistant to support our executive director. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a knack for problem-solving. As a Personal Assistant, you will play a key role in ensuring the smooth operation of daily activities and will be responsible for managing schedules, coordinating tasks, and providing administrative support.
Key Responsibilities:
- Calendar Management:Organize and manage executive schedules, including meetings, appointments, and travel arrangements.
- Communication: Act as a liaison between executives and internal/external stakeholders, handling inquiries and correspondence with professionalism.
- Administrative Support: Prepare reports, presentations, and other documents; handle data entry and file management.
- Event Coordination:Plan and coordinate events, meetings, and business trips.
- Task Management: Prioritize and manage multiple tasks and projects efficiently, ensuring deadlines are met.
- Personal Errands: Assist with personal tasks and errands as needed.
Qualifications:
- Experience: Minimum of 2 years of experience as a Personal Assistant or in a similar administrative role.
- Skills: Exceptional organizational and time-management skills; strong written and verbal communication abilities.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software; familiarity with office management systems and procedures.
- Discretion:Ability to handle sensitive information with confidentiality and integrity.
- Flexibility:Adaptable and able to handle changing priorities and work in a fast-paced environment.
Education:
- Matric Certificate
- Bachelor’s degree in Business Administration, Management, or a related field
