Key Function:

The incumbent will be responsible for the smooth running of the Office of the Assistant Dean: Research and Postgraduate Support, within the Health Sciences Research Office environment. The incumbent will ensure absolute confidentiality of all matters in the Department.

Duties:

Organize the diary of the Assistant Dean and set up meetings
Taking minutes of meetings pertaining to research office matters
Communicate with, and/or draft and send out emails to staff and students
Liaise with Departments regarding information for annual reports, and various metrics such as research outputs and postgraduate students.
Assist with administration of Postgraduate Hub activities, and research office events such as Research Day arrangements and Prestigious Research Lectures, etc
Maintain relevant distribution lists and data bases
General Office administration, ordering stationary, etc.
Assist other HSRO staff when requested by the Assistant Dean
Assist with advertising of courses/workshops and taking bookings through email and intranet, as required.
Receiving invoices of all finances due and liaising with the finance officer to arrange for payments
Making venue bookings, also at remote sites such as Chris Hani Baragwanath Academic Hospital
Arranging audio visual requirements, catering as well as printing hand-outs and registers, as required

Qualifications and Experience:

A matric qualification, secretarial diploma and a minimum of two years administrative experience.

Knowledge of the University infrastructure and rules and also Faculty infrastructure and rules is important.

Knowledge of the Oracle system would be valuable.

Computer literacy and experience in Ms Office (Ms word, Ms Excel, Ms Power point, Ms outlook,etc).

The incumbent must be highly motivated, organized and show initiative, capacity to work independently, able to meet deadlines, undertake a task and “follow-up” until completion and also communicate clearly.
