Consultant – Long Term Share Plans
Job Summary:

Reporting to the Manager Share Scheme Administration, be responsible for co-ordinating all
share and cash plans end to end and the relationships with key stakeholders across the Group.
Accountabilities:
Management of the Group’s Share and Cash Plan Activities (55%):
-
Provide commentary and data to Finance based on reporting for IFRS2 and Deferred Tax
-
Write and engage with Legal on Share and Cash Plans i.e. Plan Flyers, Grant letters, introduction of new plans etc.

Assist with the co-ordination of written resolution to the Cash and Share Plan Committee and Trustees
-
Working with Manager and company secretariat to write and release market announcements
-
Representation in Africa on special share/cash plans projects throughout the year
-
Dealing with employee queries in relation to the operation and structure of the share and cash plans
-
Co-ordinating share and cash plan award nominations and release process with local Business reward teams
-
Managing the provision of grant, leaver and release information at the appropriate times during the year for the Group’s employees. Ownership of the data remains with the local HR teams
-
Assisting with training and educating participants, Reward and HR Business Partners on the Group’s share and cash plans including the application of leaver provisions
-
Assist with drafting of communication and training material to ensure employees understand the schemes
-
Any other ad hoc functions relating to Share scheme administration as required by the Manager or Head of Reward
-
Ensure that there is accuracy in the work performed
-
Time management and meeting deadlines on all work performed
-
Apply scheme rules and give guidance to Line Managers, Reward Lead, HR and employees on scheme rules
-
Assist with the drafting of a service level agreement between all departments to ensure all processes is clear
-
Continuous improvement of BAU processes and liaising with service provider to ensure system is operational
-
Ensure compliance with local reporting and administrative deadlines of the department, working with other HR teams, Legal, Compliance, Group Tax, Finance and external vendors when required

Managing and understanding share plan data
-
To build robust relationships and successfully collaborate with HR colleagues across in scope portfolios
-
To partner with HR colleagues and business leaders and ensure the Redeployment team deliverables are delivered within a colleague focused and employment law and policy compliant framework

To provide Subject Matter specialist guidance to varying audiences on Share plans
Share and Cash Plan Buyouts (25%):
-
Work with the local reward/HR teams in relation to the Group’s share and cash plans process for buyouts and annual awards
-
Carry out share buyout valuation calculations and advise candidates and HR Business Partners on appropriate valuation methodologies in this regard
-
Maintain a library of competitor long term plans, sharing knowledge and process with
-
global reward teams
-
Work with the HR on-boarding and recruitment teams on contract structure and negotiation in relation to share and long term cash buyouts
-
Maintain the buyout database, ensuring linkage with the relevant parties
People Management and Support (10%):
-
Manage a Share Plan Administrator (if required) to ensure effective delivery of business as usual processes
-
Work with the team to develop a high performing team
-
Encourage frequent knowledge sharing between team members
-
Determine and analyse development needs in the team
-
Assist to establish and maintain a succession plan for the team
-
Approve leave requests for team members and create leave plans to ensure adequate coverage (if required)
-
Participate in the creation and implementation of Employee Opinion Survey (EOS) actions for the Share Plan team
Risk Management (10%):
-
Ensure that processes, control requirements and risk management frameworks that have been designed for the area are understood by all members of the team

For audit findings that have an impact on the area, work with the Manager Share Scheme Administration to understand what actions are required to close out findings

Implement required actions
-
During scheduled audits and management assurance reviews, ensure that all information required by the auditors are provided timeously
-
Complete required compliance and SOX attestations
-
Log all Risk and Loss events as a result of error or fraud highlighted in the department
-
Ensure that the issues are thoroughly investigated and closed or escalated as per policy
-
Ensure that the team understands all compliance requirements and highlight gaps to the Manager Share Scheme Administration
-
Ensure that you complete the required compliance training within prescribed timelines
-
Ensure that all regulatory requirements are adhered to
-
Working with other managers in the department to develop Risk and Control Assessments (RCA's) for the function and update at the required intervals (normally quarterly). Complete attestations to testify to the adequacy of controls on request
-
Ensure that all team leaders and members understand the control requirements related to physical and systems access control and information security requirements. Collect access cards from employees leaving the department or the bank and send instructions to IT and HR to remove their systems access

NQF Level 7: B Degree
Experience:

At least 3 years’ technical knowledge of and experience in share and cash plan design

Advanced knowledge of Excel

At least 3 years’ technical knowledge on tax, legal and financial issues
