Tender Administrator

About the Role
We are seeking a highly organised and experienced Tender Administrator to join our team as soon as possible. This role is ideal for a detail-oriented professional with a solid background in tender administration and contract management.
The successful candidate will coordinate the end-to-end tender process, ensure accurate and timely submission of bids, and support the administration of contracts after award. You will work closely with internal teams and external stakeholders to ensure compliance, efficiency, and successful project delivery.
Key ResponsibilitiesTender Administration
- Prepare, review, and compile tender documentation in accordance with client specifications and submission requirements.
- Coordinate the complete tender submission process, ensuring all required information is accurate and submitted within deadlines.
- Work closely with departments such as Finance, Legal, Operations, and Technical to gather supporting documentation and ensure compliance.
- Monitor tender schedules and maintain a calendar of submission deadlines.
- Conduct market and industry research to support the preparation of competitive proposals.
- Maintain accurate records of all tender activities and provide regular progress updates.
Contract Administration
- Assist with the preparation, review, and administration of contracts following successful tender awards.
- Ensure all contract documentation is complete, compliant, and properly maintained.
- Monitor contract performance, including milestones, deliverables, timelines, and commercial obligations.
- Support the processing of contract amendments, renewals, and extensions where required.
- Serve as a point of contact for contract-related queries between the company, clients, and service providers.
Documentation and Reporting
- Maintain an organised database of tender submissions, contracts, and supporting documentation.
- Prepare management reports on tender performance, contract status, and key milestones.
- Ensure all records are securely archived and easily accessible for future reference and audits.
Stakeholder Coordination
- Build and maintain effective working relationships with internal teams, clients, suppliers, and contractors.
- Coordinate communication throughout the tender and contract lifecycle.
- Assist in responding to client enquiries relating to tender submissions and contract implementation.
Minimum Requirements
- Qualification in Sales, Project Administration, Office Administration, Business Administration, or a related field.
- Minimum of 2 years' experience in tender administration and contract management within the real estate or service industries.
- Experience in preparing pricing schedules, company profiles, technical methodologies, and bid documentation.
- Exposure to tender briefing sessions and site meetings.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Valid driver's licence.
- Willingness to travel when required.
Advantageous
- Project Management or Contract Management qualification or practical experience.
