VACANCY: Stock Controller
REPORTS TO: Production Manager
LOCATION: Paarden Eiland, Cape Town
EMPLOYMENT TYPE: Permanent, Full-Time ( 6 months Probationary Period - depending on performance)

1. JOB PURPOSE
The Stock Controller is responsible for the accurate receipt, recording, storage, issuing, and control of all raw materials, components, and consumable stock used in the manufacture of EDS distribution boards, motor control centres, kiosks, panels, and related products. The role safeguards stock accuracy and availability, supports uninterrupted production flow, and maintains compliance with EDS's ISO 9001:2015 quality management system and stock control procedures.
2. KEY RESPONSIBILITIES AND DUTIES
Stock Receiving and Goods Inward
- Overall responsible for ensuring incoming deliveries against purchase orders and delivery notes, checking quantity, condition, and specification.
- Verify and resolve discrepancies between goods received, delivery notes, and purchase orders with the Buyer before goods are captured into stock.
- Capture goods received into an ERP system accurately and timeously.
- Ensure non-conforming or damaged goods are quarantined and logged in line with the Non-Conformance Reporting procedure.
Stock Storage and Housekeeping
- Maintain a clean, organised, and clearly labelled stores area, applying good housekeeping principles.
- Store materials in designated bin locations to enable efficient retrieval and accurate stock counts.
- Ensure hazardous or sensitive materials are stored in accordance with OHS and MSDS requirements.
Bill of Materials (BOM) Control
- Receive the Bill of Materials (BOM) issued for each job and confirm it is the current approved revision before any material is picked or issued.
- Verify BOM requirements against available stock at job release and notify the Buyer and Production Manager immediately of shortages, long-lead items or required substitutions.
- Pick and kit materials per job strictly against the approved BOM, recording all issues against the applicable job number to maintain full traceability.
- Obtain written authorisation from the Production Manager before issuing any material outside the approved BOM.
- Record and report all BOM variances — over-issues, under-issues, substitutions and returns — against the relevant job number.
- Reconcile materials issued against the BOM at job closure and report material usage variances to the Production Manager.
- Report BOM errors, omissions, incorrect part references and obsolete revisions back to Draughting for correction, and log recurring failures under the Non-Conformance Reporting procedure.
- Maintain filed BOM, picking and kitting records per job in line with EDS ISO 9001:2015 document and record control requirements.
Stock Issuing and Production Support
- Issue materials and components to production against approved job cards, the applicable approved BOM, or authorised requisitions.
- Liaise with Production and Draughting to confirm BOM and material requirements per job, and flag shortages proactively.
- Process stock returns from production accurately, updating system records.
Stock Accuracy and Reporting
- Conduct regular cycle counts and assist with the annual stock take, investigating and resolving variances.
- Maintain minimum/maximum stock levels and reorder points; raise stock requisitions to the Buyer for replenishment.
- Generate stock status, ageing, and slow-moving stock reports for management review.
- Maintain accurate stock records in line with EDS's ISO 9001:2015 document and record control requirements.
Health, Safety and Compliance
- Comply with all OHS Act requirements and EDS safety procedures within the stores and warehouse environment.
- Report hazards, incidents, or near-misses to the Section 16.2 Appointee without delay.
- Use always required PPE when handling stock and operating material handling equipment.
3. MINIMUM QUALIFICATIONS AND EXPERIENCE
- A qualification or short course in stores management, supply chain, warehousing, or logistics (advantageous).
- Minimum 2–4 years' experience in a stock control, stores, or warehouse role, preferably within a manufacturing or engineering environment.
- Demonstrated experience working from Bills of Materials, parts lists or engineering drawings in a manufacturing environment (essential).
- Sound working knowledge of MS Excel and general computer literacy.
4. SKILLS AND COMPETENCIES
- High level of accuracy and attention to detail.
- Strong organisational and time-management skills.
- Numerical proficiency and comfort working with stock data and reports.
- Ability to read, interpret and work accurately from a Bill of Materials, parts list or engineering drawing.
- Honesty and integrity in handling company stock and assets.
- Good verbal and written communication skills.
- Ability to work under pressure to support production deadlines.
- Physically able to perform manual handling duties, including lifting and prolonged standing.
5. WORKING CONDITIONS
The role is based primarily in the stores/warehouse area of the EDS Paarden Eiland facility, with regular movement onto the factory floor. The role requires standing, walking, bending, and manual lifting for extended periods, and the wearing of prescribed PPE. Standard working hours apply per the MEIBC Main Agreement Handbook, with occasional overtime required to meet production and stock-take deadlines.
