Full Job Description

Mount of Hope Healing Centre is seeking a dedicated, organized, and professional Secretary to join our team. The successful candidate will play a key role in providing administrative and secretarial support to ensure the efficient operation of the organization.

Key Responsibilities

1. Regulatory and Legal Compliance NPO Act Fulfillment: Ensure the organization submits its required narrative reports, financial statements, and updated office-bearer details to the NPO Directorate within nine months of the financial year-end.Corporate Governance: Guide the board on their statutory duties and make them aware of relevant legislation, including the Non-Profit Organisations Act 71 of 1997 and the Companies Act 71 of 2008 (for Non-Profit Companies).Constitution & By-Laws: Uphold the organization's constitution and ensure all board elections and decisions align with governing documents.

2. Meeting AdministrationScheduling & Agendas: Collaborate with the chairperson to set meeting agendas and notify members of meeting dates, times, and venues.Taking Minutes: Record accurate, objective minutes during board and Annual General Meetings (AGMs), noting all decisions and action items.Quorums: Verify that meetings are correctly constituted and have the required quorum to proceed legally.

3. Record KeepingStatutory Registers: Maintain official records, including membership logs, board member contact lists, and registers of conflicts of interest.Document Archiving: Securely store foundational documents (NPO certificate, Constitution, MOI), past minutes, annual reports, and important correspondence.

4. CommunicationInternal: Distribute meeting notices, agendas, and minutes to board members in a timely manner.External: Serve as the primary point of contact for inquiries, funding partners, and government departments regarding official board records and compliance status.
