JOB DESCRIPTION

Debtors Clerk (Accounts Receivable & Credit Control)

Department: Finance
Reporting To: Debtors Manager / Financial Director
Location: Tongaat Head Office (KwaZulu-Natal)
Salary: R10 000

Position Purpose

The Debtors Clerk is responsible for the accurate administration of the accounts receivable function, ensuring customer accounts are maintained, invoices and statements are processed accurately, and outstanding debts are collected within agreed payment terms.

The successful candidate will play a key role in supporting the company's cash flow by monitoring debtor accounts, reconciling customer accounts, resolving queries, processing retailer claims, and maintaining accurate records on the SYSPRO ERP system.

Job Description / Responsibilities

Manage the full debtors function for allocated customer accounts.
Process customer invoices, credit notes, debit notes, and monthly statements accurately and timeously.
Allocate customer payments and reconcile debtor accounts.
Follow up on outstanding accounts via telephone and email to ensure timely collections.
Investigate and resolve customer account queries relating to short payments, pricing discrepancies, delivery shortages, returns, promotional claims, and deductions.
Process approved credit notes and ensure all supporting documentation is complete.
Liaise with the Sales, Logistics, Warehouse, and Merchandising departments to resolve account disputes efficiently.
Maintain accurate customer records and account information on the SYSPRO ERP system.
Generate debtor ageing reports and assist with month-end debtor reconciliations.
Monitor customer credit limits and report overdue or high-risk accounts to management.
Ensure compliance with company credit policies and procedures.
Assist with audit requests and maintain accurate filing of debtor documentation.
Build and maintain strong professional relationships with customers while delivering excellent service.
Perform any other accounts receivable and credit control duties as required by management.

Minimum Requirements Education

National Diploma or Certificate in Finance, Accounting, Bookkeeping, or a related field will be advantageous.

Experience

Minimum of 2–3 years' experience in a Debtors, Accounts Receivable, or Credit Control role.
Essential: Previous experience working with major FMCG retail accounts, specifically Shoprite, Pick n Pay, and Boxer.
Experience handling retailer deductions, promotional claims, pricing disputes, and short payments is essential.
Previous experience within the FMCG, Manufacturing, or Wholesale Distribution industry is highly advantageous.

Systems Knowledge

Working knowledge of SYSPRO
Proficient in Microsoft Excel, including formulas, sorting, filtering, and Pivot Tables.
Good working knowledge of Microsoft Office applications.
