Duties and responsibilities:
Project Administration

Compile, keep and update detailed records of project participants.
Prepare all registration forms and accompanying documents for enrolment meetings.
Prepare attendance registers, feedback and assessment forms for training sessions and mentoring visits.
Travel from time to time to fulfil project requirements.

Material Centre Administration

Compile training material lists to provide service providers with the necessary detail in terms of each project's activity material requirements.
Perform technical editing, quality control and final computer layout and compile module electronically.
Supervise and coordinate the manufacturing of project activity material and worksheets for teacher professional development training sessions.
Delegate and oversee the packaging of project activity material and worksheets in the Family Math material centre.
Dispatch project material to participating teachers by means of courier or other mechanisms according to pre-determined timelines.

Quality Control

Perform quality control of all project training material, including modules before sending to project participants.
Perform quality control of delivered items from suppliers.
Perform quality control and reconcile the number and content of boxes with details of the project participants and material lists before dispatching it to participating teachers.
Follow up on receipt of dispatched activity material by participating teachers.

Financial Administration

Request quotations from suppliers and follow UFS procurement policy and procedures.
Reconcile expenditure relatying to project activity material and worksheets.
Maintain detailed records of income versus expenditure for the worksheets and activity material for the different projects in order to compile an updated budget performance document.
Conduct the cost analysis/calculation regarding different projects in collaboration and on request of the Project Manager/ Programme Director.

Inherent requirements:

Bachelor’s degree or an Advanced Diploma/B.Tech degree/Postgraduate Certificate on NQF Level 7.
A minimum of two (2) years’ relevant experience in project and/or financial administration as well as stakeholder management.
A valid driver's license (attach a copy).

Recommendations:

Working knowledge of UFS procurement policies and procedures.
Demonstrate proficiency in the use of ICT and digital platforms.
Experience within the higher education environment

01 September 2026 or as soon as possible.

Salary:
The annual remuneration package, including benefits is R 464,881.91– R 585,070.51 per annum, depending on the budget available for the position, relevant work experience and qualifications.
