The Role
The Director and General Manager between them run operations, client contracts, regulatory compliance, corporate matters, and multiple technology projects. We are hiring a Chief of Staff / Executive Assistant to act as their force multiplier: the person who owns the rhythm of the business — tracking every project, protecting executive time, preparing decision-ready information, and driving follow-through across all workstreams.
This is a trusted right-hand role, not a back-office admin position. You will sit close to leadership, see the whole business, and be given increasing responsibility as you prove yourself. It suits an ambitious, highly organised operator early in their career who wants exposure that no ordinary PA role offers.
Key Responsibilities
Project & Priority Management
- Own the central project register across operations, compliance, commercial, and technology workstreams; track owners, deadlines, and dependencies
- Chase deliverables, escalate blockers early, and give the Director and GM a clear weekly view of what is on track, at risk, or slipping
- Coordinate cross-functional tasks between site managers, head office, and external advisors so nothing stalls waiting for a handover
- Support special projects end-to-end — from tender submissions and client onboarding to internal process improvements
Executive Support & Gatekeeping
- Prepare meeting agendas and briefing packs, take minutes, and drive action items to closure
Communication & Documentation
- Draft, format, and quality-check letters, reports, proposals, presentations, and client documentation to a professional standard
- Maintain document control and filing for contracts, compliance records, HR files, and company documents
- Act as a professional point of contact for clients, attorneys, accountants, and consultants on behalf of the executives
Compliance & Business Administration
- Track statutory and regulatory deadlines (including PSIRA, labour, and industry compliance) and prepare supporting documentation
- Assist with meeting cadence and record-keeping for company and group-level matters (resolutions, registers, advisor correspondence)
- Support basic financial administration — collating invoices, expense records, and information requested by the accountants
- Handle confidential company, commercial, and personnel matters with absolute discretion
Minimum Requirements
- Matric (Grade 12); a relevant diploma or degree (business administration, project management, or similar, Accounting Diploma) advantageous
- 2–4 years' experience as an Executive Assistant, Personal Assistant, Project Coordinator, or similar role supporting senior management
- Demonstrated ability to run trackers, follow up relentlessly, and close loops without supervision
- Strong MS Office skills (Word, Excel, PowerPoint, Outlook); quick to learn new digital and AI-assisted tools
- Excellent written and spoken English; able to draft professional correspondence unsupervised
- High discretion and integrity — you will handle sensitive commercial, financial, and personnel information
- Own reliable transport and valid driver's licence
- Based in Johannesburg / Gauteng
Advantageous
- Experience in the private security, mining, logistics, or facilities management sectors
- Exposure to PSIRA or other compliance-driven environments, or to contract administration
- Familiarity with project management tools (Trello, Asana, Monday.com, or similar)
- Basic bookkeeping, invoicing, or tender administration experience

- R20,000 – 30,000 CTC per month as a starting package, with a formal six-month performance review linked to salary progression as you take on greater responsibility
